What to make

Institute (issuer of the cards)

The cards are your institute’s own. Its name, address, logo and the authorised signatory’s signature are required: until all four are in, every card prints SAMPLE. Every card says on its back that it is not a government identity document.

Your institute’s own logo — never a board’s or a government’s emblem.

Students

Choose a sheet with one row per student — Roll number and Name, and Class, Section, Valid until, Blood group, Guardian, Guardian phone and Photo when you have them — then add the photos: a photo named after the roll number (EA-0101.jpg) or named in the sheet’s Photo column goes on that card, cropped to the photo frame on this device.

Cards

Free preview: the first cards (up to 3) are drawn at preview size with a watermark and their QR codes covered so they do not scan; the others are counted, not made. Downloads unlock with a Premium pass.

Only a school, college or institute may issue these cards, in its own name and only to its own students. A card in another institution’s name is forgery, and one for someone who is not a student there is fraud.

Print the A4 sheets at 100% (actual size) on card stock and cut along the crop marks. For double-sided cards, print the backs on the reverse — flip on the long edge for landscape cards, on the short edge for portrait cards — and print one test sheet first, because printers differ.

About the Student ID & Internal Admit Card Maker (CSV + Photos)

Make your institute’s identity cards for every student at once — or admit cards for one of your own internal tests. Fill in the institute: its name, address, logo and the authorised signatory’s signature. Choose a sheet with one row per student (roll number, name, class or batch, section, validity, blood group, guardian and guardian’s phone), add the photos named after the roll numbers, and every card is drawn on this device: the photo cropped to its frame, the details, and a QR code that holds only the roll number.

ID cards are the ISO/IEC 7810 ID-1 size (85.60 × 53.98 mm, also called CR80), landscape or portrait, with a front and a back; admit cards fill half an A4 page, two to a page, each printed INTERNAL TEST with your institute as the centre. Download A4 sheets of ten cards with crop marks (the backs mirrored for double-sided printing), one PDF per student or PNG images — with a Premium pass; without one the free preview draws the first cards with a watermark and their codes covered.

How to use it

  1. Fill in the institute: its name, address, logo and the authorised signatory’s signature (and the signatory’s name and designation).
  2. Choose Student ID cards or Admit cards for an internal test; for ID cards pick the orientation, style, heading and fields, for admit cards name your test and add its papers, dates and times.
  3. Choose the students’ sheet (CSV or Excel) — download the sample sheet to see the columns — or paste the rows, or add students one at a time.
  4. Press Add photos and choose the photos; each is matched by the roll number in its file name (EA-0101.jpg) and cropped to the photo frame.
  5. Check the cards, then download the A4 sheets, one PDF per student or PNG images with a Premium pass (without one the page shows the free preview), print them at 100% and cut along the crop marks.

Common uses

  • Identity cards for every student at the start of the year, with photos and a QR code for your attendance system.
  • Admit cards for a coaching institute’s weekly, monthly or mock tests.
  • Replacement cards for a few students, as one PDF each for a card printer.
  • Library, hostel or transport cards with your own heading and a line of your own on the back.

Card size and printing

ID cards are the ID-1 size of ISO/IEC 7810: 85.60 × 53.98 mm, the size of bank cards and standard card holders. An A4 sheet holds ten cards with a 4 mm gap — landscape cards two across and five down, portrait cards five across and two down on a landscape sheet — with crop marks in the margins and in the gaps, so every cut is marked even where a printer cannot print near the edge.

Print at 100% (actual size). Each sheet of fronts is followed by its backs with the columns swapped: print double-sided, flipping on the long edge for landscape cards and on the short edge for portrait cards, and print one test sheet first. For PVC cards, send the PNG images (300 dpi) or the one-PDF-per-student files to a card printer. Admit cards are A5 (half an A4 page), two to a page with a dashed cutting line.

Photos

Each photo goes on the card of the student whose roll number is its file name (EA-0101.jpg; capitals, spaces and dashes are ignored), or whose Photo column names it. It is cropped to the card’s photo frame on this device, centred a little above the middle, as passport-style photos are framed: a head-and-shoulders photo against a plain background works best. Photos are never uploaded and stay only while the page is open.

What the card shows — and what it never does

  • Front: your institute’s name and logo, your heading (STUDENT ID CARD, or your own), the photo, the name, class and section, roll number, blood group and validity, and a QR code that holds only the roll number.
  • Back: where to return a found card, the guardian and their phone number, a line of your own, the statement that the card is issued by your institute and is not a government identity document, and the authorised signatory.
  • There are no government emblems or ID layouts and no fields for government ID numbers: headings and lines that name Aadhaar, PAN, a voter ID, a passport, a driving licence or a government are refused, and so is a roll number that looks like an Aadhaar number or a PAN.
  • Until the institute’s name, address, logo and signature are in, every card prints SAMPLE across it. The examples use made-up names only, and no design copies a real institution’s cards.

Admit cards for internal tests

An admit card names your test, its papers with dates and times, the reporting time and an optional room or branch, with your instructions (five standard lines to start from). The centre is always your institute, every card is printed INTERNAL TEST, and its foot says it is not an admit card for any board, university or government examination. A test named after an official exam — JEE, NEET, CUET, a board exam, a recruitment exam — is refused unless the name says it is your own mock or practice test, such as “NEET mock test 4”; so is a paper that would make an ordinary test one.

The students’ sheet

Roll number and Name are needed; Class (or Batch), Section, Valid until (or 31/03/2027 with the day and month in the order your country writes them), Blood group (A+, B−, AB+ …; “B pos” and “O negative” are read too), Guardian, Guardian phone and Photo (a file name) are used when present. A row without a roll number or a name, a roll number that appears twice, or a date that cannot be read is listed with its line number and left out — never guessed.

Limitations

  • An identity card for your institute, not a security credential: the QR code holds the roll number only and the card has no chip or hologram. Check what your attendance or access system expects before printing.
  • Photos are cropped to the centre: choose passport-style photos, or crop them yourself first.
  • The card is small: long names and addresses are set smaller, on up to three lines. Text that still does not fit ends in “…”: the page says so for the cards on screen, and after a download it lists every card concerned.
  • Students and photos are not saved in the browser: choose them again after a reload. The institute, the design and the test are kept.
  • Names in scripts without a font here (Arabic, Chinese …) print as “?” in the PDF; the nine main Indian scripts print correctly.

Frequently asked questions

What do I get without a pass?

Without a pass, Student ID & Internal Admit Card Maker (CSV + Photos) shows the first cards of your list (up to 3) at preview size with a MySmartCoPilot watermark, QR codes covered; the rest are counted, not made. Until you unlock it, the result can’t be downloaded. A Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

What size is a student ID card?

The usual card is the ID-1 size of ISO/IEC 7810 — 85.60 × 53.98 mm, also called CR80 — the size of a bank card, which fits standard card holders and lanyards.

How do I make ID cards for a whole class at once?

Choose a sheet with one row per student (roll number and name, and the other fields you want), add the photos named after the roll numbers, check the cards and download the A4 sheets or one file per student.

What does the QR code contain?

Only the roll number, exactly as in your sheet, so an attendance or library system can read it — nothing else about the student.

Can I make admit cards for a board exam or an entrance exam?

No. Admit cards here are for your institute’s own internal tests only: each is printed INTERNAL TEST with your institute as the centre, and official exam names are refused unless the test is your own mock or practice test.

Why do my cards say SAMPLE?

The institute’s name, address, logo or the authorised signatory’s signature is still missing. Add all four under Institute and the cards are drawn without it.

Can the card carry an Aadhaar number or another government ID?

No. The cards are your institute’s own and never carry government ID numbers or layouts; a roll number that looks like an Aadhaar number or a PAN is refused.

How do I print double-sided cards?

Download the A4 sheets: each page of fronts is followed by its backs with the columns swapped. Print double-sided at 100% — flip on the long edge for landscape cards, on the short edge for portrait cards — after one test sheet.
