About the Employee ID Card Maker (Bulk from a Staff Sheet with Photos)
Make company ID cards for a whole team at once. Fill in the company — name, address, logo and the authorised signatory — and choose a staff sheet with one row per person: employee code, name, designation, department, blood group, emergency contact and validity. Add the photos: a photo named after the employee code (E1023.jpg), or named in the sheet’s Photo column, goes on that person’s card, cropped around the face on your device.
The cards are the ISO/IEC 7810 ID-1 size (85.60 × 53.98 mm, also called CR80) — the size of a bank card and of standard badge holders — in landscape or portrait, with a front and a back. The QR code or barcode on the front holds only the employee code. Download A4 sheets of ten cards with crop marks (fronts, then their backs for double-sided printing), one PDF per person or PNG images — with a Premium pass; without one the free preview draws the first cards with a watermark and their codes covered.
These are workplace badges: there are no government-ID layouts, the back always says the card is not a government identity document, and until the company details are filled in every card prints SAMPLE.
How to use it
- Fill in the company: name, address, logo, the authorised signatory and an optional signature image.
- Choose the card design: landscape or portrait, a colour band or minimal, the heading, a QR code or barcode, and which fields to show.
- Choose a staff sheet (CSV or Excel) — download the sample sheet to see the columns — or add people one at a time.
- Press Add photos and choose the photos; each is matched by the employee code in its file name and cropped around the face.
- Check the cards on screen, then download the A4 sheets, one PDF per person or PNG images with a Premium pass — without one the page shows the free preview. When you print the unlocked sheets, choose 100% and cut along the crop marks.

Card size and printing
The cards are ID-1 size from ISO/IEC 7810: 85.60 × 53.98 mm, the size of bank cards and of standard badge holders and lanyards. An A4 sheet holds ten cards with a 4 mm gap: landscape cards two across and five down on a portrait sheet, portrait cards five across and two down on a landscape sheet. Crop marks in the margins and in the gaps between the cards show every cutting line, so the cuts stay marked even where a printer cannot print near the edge of the paper.
Print at 100% (actual size), not “fit to page”. For double-sided cards each sheet of fronts is followed by its backs with the columns swapped: print double-sided, flipping on the long edge for landscape cards and on the short edge for portrait cards, and print one test sheet first, because printers differ. Thick card stock and a laminating pouch make a sturdier card; for PVC cards, send the PNG images or the one-PDF-per-person files to a card printer.
Photos
Each photo is matched to a person by the sheet’s Photo column, or by a file name that is the employee code (E1023.jpg; capitals, spaces and dashes are ignored). A face-detection model that runs in your browser finds the largest face and crops the photo to the card’s photo frame around it, framed like a head-and-shoulders photo; when it finds no face — or when Crop around the face is off — the photo is cropped to its centre. The list shows how each photo was framed. Photos are never uploaded, and they stay only while the page is open.
What the card shows — and what it never does
- Front: the company name and logo, the heading (EMPLOYEE ID, or your own), the photo, the name, designation and department, the employee code, the blood group and the validity date, and a QR code or Code 128 barcode that holds only the employee code — never the name, a phone number or anything else.
- Back: where to return a found card, the emergency contact, a line of your own, the statement that the card belongs to the company and is not a government identity document, and the authorised signatory.
- There are no government emblems, no national ID layouts and no fields for government ID numbers. Until the company name, address and signatory are filled in, every card prints SAMPLE across it.
- Dates print as “31 Mar 2028”, which reads the same in every country.
The staff sheet
Employee code and Name are needed; Designation, Department, Blood group (A+, B−, AB+, O− …; “B pos” and “O negative” are read too), Emergency contact, Valid until (2028-03-31 or 31/03/2028) and Photo (a file name) are used when present. A row without a code or a name, a code that appears twice, or a date that cannot be read is listed with its line number and left out — never guessed. A blood group that cannot be read is left off the card and counted.
Limitations
- A company badge, not a security credential: the code holds the employee code only, and the card has no chip or hologram. Check what your access or attendance system expects before printing.
- Face detection can miss a face that is turned, partly covered or very small in the picture: check each photo in the list and on the cards.
- The PDFs draw Latin-script text; names in other scripts show as “?” in the PDF, so use the PNG images for them.
- Photos are not saved in the browser: choose them again after a reload. The company details, the design and the people are kept.
Privacy
Everything happens in your browser. The staff sheet and the photos are read on this device and never uploaded; company details and the list of people are kept in this browser’s storage until you remove them, and photos only while the page is open.

What does the QR code contain?
Only the employee code, exactly as in the sheet — so an attendance or visitor system can read it — and nothing else about the person.
Can I use this to make a government ID?
No. The tool makes workplace badges only: there are no government layouts or emblems, every card says on the back that it is not a government identity document, and cards print SAMPLE until your company details are filled in.
Why does my card say SAMPLE?
The company name, address or authorised signatory is still blank. Fill them in under Company and the cards are drawn without it.
