About the Letterhead Maker (PDF and Word Header/Footer)
Design a letterhead for your company, shop, clinic, school or office: your logo, name and tagline, address, phone, e-mail and website, and up to four registration numbers — GSTIN, CIN, Udyam or IEC in India, or a VAT, company or tax number anywhere else — in one of four styles: classic, centred, a colour band or a side stripe, in your colour.
Download a vector PDF (A4 or US Letter) with the first page and a slimmer continuation page, a Word template (.docx) whose header and footer are real Word headers and footers — so every page of every letter you type gets them — and a PNG at 300 dpi. Everything is made in your browser and nothing is uploaded.
How to use it
- Under Organisation, add your logo and type the name, tagline, address and contacts.
- Under Registration numbers, add the numbers your letters must show (pick a label or type your own). The page checks the format of GSTIN, CIN, Udyam, IEC and PAN numbers.
- Under Design, choose the style, your colour, whether the contacts go in the header or the footer, and the paper size.
- Check the First page and Continuation page in the preview (the dashed box is where the letter goes).
- Download the PDF, the Word template or a PNG of the page.
Examples
Kapoor Textiles Pvt Ltd · logo · GSTIN and CIN · contacts in the header · teal
kapoor-textiles-pvt-ltd-letterhead.pdf — page 1 with logo, name, tagline and contacts over a teal rule, the address and registration numbers in the footer; page 2 with a slim header.
The same letterhead · Word template
kapoor-textiles-pvt-ltd-letterhead.docx — open it, type the letter, and the header and footer repeat on every page (page numbers from page 2).
Common uses
- Letters, quotations, notices and certificates from a company, firm, shop, school, clinic or society.
- A Word template the whole office uses, so every letter looks the same.
- A PDF background for letters written in other apps.
The files
- PDF: A4 (210 × 297 mm, ISO 216) or US Letter (8.5 × 11 in). Rules, bands and icons are vector shapes and the text is real, selectable text in Noto Sans (SIL Open Font License), embedded in the file, so it prints sharp at any size. Page 1 is the first page, page 2 the continuation page. A line in a script that needs shaping (Hindi and the other Indian scripts) is placed as a 600-dpi picture of the line — sharp in print, but not selectable.
- Word (.docx): a template with Different first page switched on — page 1 gets the full header, later pages the continuation header and a page number — and the margins set so the letter starts below the header. Text is set in Calibri, and Hindi and other complex scripts in Nirmala UI, fonts that come with Windows and Microsoft Office; other word processors use a similar font of their own.
- PNG: the page you are looking at, 2,480 × 3,508 pixels for A4 (300 dpi), to use as a background picture.
What a letterhead usually shows
The organisation’s name and logo, the registered or office address, phone, e-mail and website. Companies and registered businesses often add their registration numbers — in India, for example, the GSTIN on documents under GST and the CIN for companies — and some sectors add licence numbers. What your letters must carry depends on your country, your legal form and your sector: check with your accountant or company secretary. This tool only places what you type and checks the format of common Indian numbers.
Limitations
- One logo; the layout of each style is fixed (you choose the content, colour and style).
- The Word template uses Calibri and Nirmala UI; the PDF uses Noto Sans. Choose the file that suits how you write letters.
- Only your own organisation’s letterhead: do not make letterheads of government offices, banks or other organisations.
- Details are remembered in this browser only when “Remember” is on; the logo is not stored.
Privacy
Your logo and details are drawn in your browser and never uploaded. The typed details are kept in this browser only when “Remember” is on.
Frequently asked questions
Is the PDF a vector file?
Yes. The shapes, icons and Latin text are vectors (the text is real, selectable text with an embedded open-source font); only the logo is an image, and lines in Indian scripts are 600-dpi images because PDF libraries cannot shape those scripts.
How do I use the Word template?
Open the .docx in Word (or another word processor), type your letter in the body and save it under a new name. The header and footer are real Word headers and footers, so they stay in place on every page.
Can I put my GSTIN or CIN on it?
Yes: add them under Registration numbers with their label. The page checks the GSTIN’s check character and the length and pattern of CIN, Udyam, IEC and PAN numbers, and warns you about mistakes.
Can I use it outside India?
Yes. Choose US Letter or A4, and type any registration label — VAT Reg. No., Company No., EIN, ABN and so on; the suggestions follow the country chosen at the top of the page.
Is it free?
Yes, with no watermark and no sign-up.
