About the Quotation Generator

Send customers a clear, professional price before the work starts. Add your business and logo, the customer, the items with quantities, rates, discounts and GST, and a "valid until" date — the quotation builds itself in a live A4 preview with totals and the amount in words.

When the customer says yes, press Convert to invoice: the invoice generator opens with the same customer, items and prices, dated today and referencing your quotation number. Everything stays in your browser.

How to use it

  1. Fill in your business details (remembered next time) and who the quotation is prepared for.
  2. Set the quotation number, date and how long it is valid for (or pick a custom date).
  3. Add items with quantity, rate, discount and tax. For GST choose the place of supply; for other countries pick a currency and Other tax or No tax.
  4. Write your terms — validity, advance, delivery time — and press Download PDF or Print / Save as PDF.
  5. When the quote is accepted, press Convert to invoice to continue in the invoice generator.

What to put in a good quotation

  • A unique quote number and date, so you and the customer can refer to it.
  • A validity date — prices and availability change. The default is 30 days.
  • Clear item descriptions with quantities and units, so there is no doubt about what is included.
  • Taxes shown separately (or prices marked as tax-inclusive), plus delivery or installation charges.
  • Terms: advance required, payment terms, delivery time, warranty and what is not included.

Quotation, estimate or proforma invoice?

A quotation is a firm price offer for a period; an estimate is an approximate cost that may change; a proforma invoice is a preliminary bill sent before supply, often to arrange payment or import paperwork. None of them is a tax invoice — under GST the tax invoice is issued for the actual supply. Change the Document title to match what you are sending.

Limitations

  • A quotation is not a tax invoice. Convert it to an invoice (and check the number and dates) when you actually supply the goods or services.
  • GST rates must match your goods or services; the tool offers the rates in force (0, 0.25, 1.5, 3, 5, 18 and 40%, and 12% for certain bricks and roofing tiles) but cannot know your HSN/SAC classification.
  • The downloadable PDF draws Latin-script text (with ₹, € and £). For other scripts, use Print / Save as PDF.

Privacy

Everything happens in your browser. Your quotation, customer details and logo are not uploaded or stored by MySmartCoPilot; the draft stays in this browser's local storage until you clear it.

Frequently asked questions

How does "Convert to invoice" work?

It copies the customer, items, prices, taxes and your business details into a new invoice draft dated today, with "Quotation <number> dated <date>" as the reference, and opens the invoice generator. If you already had an invoice draft, you can restore it from the message shown there.

Should a quotation include GST?

If you are GST-registered, showing the tax separately avoids surprises: the customer sees the taxable value, the GST and the total. You can also tick Rates already include tax to quote tax-inclusive prices.

Can I save quotations and reuse them?

Yes. The current draft is saved in this browser automatically. Use Save file to keep an editable copy of each quotation, and Open file to load it again later — even in the invoice generator.

Can I quote in US dollars or another currency?

Yes. Pick the currency under Tax and currency; the number style and amount in words switch to international English (million, billion), which you can change back to lakh and crore.
