    About the Tractor & Harvester Hire Billing (per acre, hour or trip; diesel and driver log)

    A hire register for owners of tractors, rotavators, harvesters and JCBs who work other farmers’ fields. It runs in your browser and keeps everything on your own device. Set your rate cards — each kind of work billed by the area, the hour, the trip or the day, with a minimum charge if you keep one — and write each job as it is done: the customer, their field, the work and how much was done (hours straight from the hour meter). The amount, what was paid and what is left come out at once, and every customer’s udhaar adds up by itself.

    Save each customer’s fields with their area — typed, or measured by walking the edge with your phone — and the next job there fills in the area. Mark your drivers’ days and advances, write each diesel fill, and see each month’s billing, collections, diesel and wages. In the free preview, slips and reports show as marked page images; a Premium pass gives the clean 58 mm or 80 mm job slips, A5 slips, statements and reports to print, download or share.

    How to use it

    1. Under Rates & machines, add each kind of work with your rate — rotavator by the acre, cultivator by the hour, trolley by the trip — and your tractors and harvesters.
    2. Under Jobs, type the customer, choose the field and the work, and type the area, the trips or the hour meter readings; add what was paid and press Save the job.
    3. The job slip opens with the customer’s earlier balance and, in rupees, a UPI QR code for what is due. Without a pass it stays a free preview; with a Premium pass you print it on a 58 or 80 mm roll or A5, or share it as a picture.
    4. Open a customer under Customers to record a payment, add a field (or walk it with the phone), send a reminder, or make their statement — a free preview until you have a pass.
    5. Mark the drivers’ days and advances under Drivers, write diesel under Diesel, and open Reports for the month and the dues list; with a Premium pass they print or download as PDFs.

    Common uses

    • A tractor owner who rotavates, cultivates and carts for the village and wants every job and every rupee owed written down, with a slip for the farmer.
    • A combine harvester crew billing by the acre through the harvest, with each field’s area kept for next season.
    • A custom hiring centre keeping rate cards for each implement, its operators’ days and advances, and the diesel each machine burns.
    • A JCB or water tanker owner billing by the hour or the trip, with the hour meter readings on the slip.

    How a job is billed

    • Amount = quantity × rate, rounded to the currency’s smallest unit (paise, cents), and at least the rate card’s minimum charge when it has one.
    • By the area: the quantity is the area worked in the rate’s unit; a saved field’s area is converted from its own unit (hectares, gunthas, a bigha of your own size and so on).
    • By the hour: type the hours, or the hour meter at the start and the end — the hours are the difference.
    • By the trip or by the day: the count.
    • What is paid at the job comes off the amount; the rest goes on the customer’s account. Payments made later are recorded on the account and get their own receipt number.
    • Every rate is yours: the register suggests none.

    Saved fields and measuring by walking

    • Each customer can have saved fields with their area, typed from the land record or measured by walking the edge with the phone (Measure this field by walking it (GPS)).
    • Points are kept from fixes the phone reports as precise to 20 m or better, at least 3 m apart; the area is worked out on a flat plane from the WGS 84 lengths of a degree at your latitude. Treat it as an estimate as good as the phone’s GPS: small fields and trees make it less exact.
    • The positions never leave the page: only the area, the length walked and the accuracy are kept with the field.

    Slips, receipts and statements

    • Job slips and payment receipts fit a 58 mm or 80 mm thermal roll, or an A5 sheet; statements, the month’s summary, the dues list, drivers’ wages and the diesel log print on A4, A5 or US Letter.
    • Headings can carry Hindi, Marathi, Punjabi, Gujarati, Telugu or Kannada beside the English; names, villages and notes print as you type them.
    • In rupees, with your UPI ID under Settings, a slip with an amount due carries a UPI QR code for that amount.
    • Printing: through the print dialog on any printer, or — in Chrome or Edge — straight to an ESC/POS slip printer over Bluetooth, USB or a serial port, if you like as soon as the job is saved.

    Drivers and diesel

    • Each driver has a day’s wage: mark each day full, half or absent (days with jobs are suggested), and record advances and wages paid. The balance shows what you owe them, or the advance they still have to work off.
    • Write each diesel fill with its litres and price. For each machine, the month shows the litres an acre and an hour from the jobs it did — divided over the work recorded in the same month, so a fill just before the month ends shifts the figures.
    • The month’s summary puts billing, collections, diesel and drivers’ wages side by side. What is “left” leaves out repairs, loan instalments and the wear of the machines.

    Your data stays on this device

    • Rate cards, customers, fields, jobs, drivers and diesel are kept in this browser on this device (IndexedDB). Nothing is uploaded and you need no account.
    • Set a passcode under Data & backup to keep the register encrypted (AES-256). Clearing the browser’s site data deletes it: download an encrypted backup regularly. Your own entries also download as CSV files, and customers and rate cards import from a spreadsheet.

    Limitations

    • Slips carry no tax: if you are registered for GST or another sales tax, issue your tax documents from your accounting software.
    • No market or government rates: every rate is the one you set.
    • One device: the register does not sync. To move it, restore an encrypted backup on the other device.
    • Area measured by walking is an estimate as good as the phone’s GPS; screens are in English, with local-language headings on the printed papers only.
    • Printing straight to a slip printer needs Chrome or Edge and an ESC/POS printer; other browsers print through the print dialog.

    Privacy

    Your customers, fields, jobs, money, drivers and diesel stay in this browser on this device and are never uploaded. GPS positions of a walk stay in the page; only the area is kept.

    What do I get without a pass?

    Without a pass, Tractor & Harvester Hire Billing (per acre, hour or trip; diesel and driver log) shows the whole register on this device, with job slips, receipts, statements and reports as page images marked “MySmartCoPilot preview · not for use”. Until you unlock it, the result can’t be downloaded, copied, printed or shared. A Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result.     Can I bill by the hour from the hour meter?

    Yes. Choose a rate billed by the hour and type the meter readings at the start and the end: the hours are the difference, and both readings print on the slip.

    Does it measure the farmer’s field?

    Yes, as an estimate: press Measure this field by walking it (GPS) and walk the edge with the phone. The area is kept with the customer’s field, so the next job there fills it in. For a sale or a dispute, go by the land record.

    Can I print on a 58 mm Bluetooth slip printer?

    Yes. With a pass, print through the print dialog with the roll size chosen there, or set Settings → Slip printer to print straight to an ESC/POS printer over Bluetooth, USB or a serial port in Chrome or Edge. Print a test slip first.

    Can the slip be in Hindi or Punjabi?

    The headings can be: choose Hindi, Marathi, Punjabi, Gujarati, Telugu or Kannada under Settings and every heading prints in that language beside the English. Names and notes print as you type them.

    How do I keep a farmer’s udhaar?

    Whatever is not paid at a job stays on the customer’s account. Record later payments under the customer; their page shows every job and payment with the balance, and the dues list shows everyone who owes you.
