About the Farm Diary & Crop Profit Register (kheti hisab)

A farm diary that runs in your browser and keeps everything on your own device. Write down your plots (typed from the land record or measured by walking the edge with your phone), the crop on each plot every season, and as the season goes: every expense by head with a photo of the bill, the work done (a spray with its product, batch and dose as you recorded it), attendance and wages of your workers, harvests and sales with the market’s deductions, and the udhaar with input dealers, traders and contract buyers.

From those entries the diary works out each crop’s profit — its expenses, the wages of the days worked on it and the deductions from its sales, against what it sold for — per acre (or your unit) and per quintal, with the season’s and each plot’s totals. In the free preview, reports show as marked page images; a Pro pass gives the clean PDF and Excel reports.

    How to use it

    1. Add your plots under Plots with their area — type it, or press Measure by walking the edge (GPS) and walk round the field — and under Crops add the crop on each plot for the season.
    2. As things happen, use Write in the diary: an expense (with a photo of the bill, paid or on credit with a dealer), the work done, a harvest, a sale (rate, commission, loading, market fee and transport, and what was received).
    3. Under Labour, add your workers with their day’s wage and mark each day’s attendance — full or half day, and on which crop — and record advances and wage payments.
    4. Under Udhaar, see what you owe each input dealer and what each trader or contract company owes you, and record payments either way.
    5. Open a crop for its profit and budget, or Reports for a season, a plot or the whole farm. Without a pass the reports stay a free preview; with a Pro pass you print or download them as PDF or Excel.

    Common uses

    • A farmer who wants to know, crop by crop and season by season, what each one really earned after every cost.
    • Keeping a spray and fertiliser log with the product, its batch and the dose used, beside the crop’s accounts.
    • Paying farm workers by the day and keeping their attendance, advances and wages straight.
    • A contract farming arrangement: inputs the company supplied, its advances, the deliveries at the agreed rate and the settlement, in one account.

How a crop’s profit is worked out

    • Income: what its sales fetched (quantity × your rate), before deductions.
    • Cost: the expenses written for that crop, the wages of the attendance days marked on it (a half day at half the wage), and the deductions taken from its sales (commission, loading, market fee, transport).
    • Profit = income − cost; per acre (or your unit) on the crop’s area; cost per quintal = cost ÷ the harvest.
    • Expenses for a plot or the whole farm (a year’s rent, a pump repair) stay out of the crops: the plot report takes the plot’s own, and the farm account takes everything in a period.
    • Prices are yours: the diary has no market or support prices.

Measuring a plot by walking its edge

    • On a phone, press Measure by walking the edge (GPS), allow the location, and walk slowly round the field back to the first corner. Points are kept from fixes the phone reports as precise to 20 m or better, at least 3 m apart.
    • The area is worked out on a flat plane from the WGS 84 lengths of a degree at your latitude — far more exact than the GPS itself, whose accuracy is shown as you walk. Small fields and tree cover make the area less exact: treat it as an estimate, and use the land record where it matters.
    • The positions never leave the page: only the area, the length walked and the accuracy are kept with the plot.

    Labour, wages and advances

Each worker has a day’s wage. Mark each day: a full day earns the wage, half a day half of it, or type that day’s own wage for piece work. Advances and wage payments come off what you owe them; a minus balance is an advance not yet worked off. The wage statement lists the days, the crop each was on, and every payment.

    Udhaar and contract farming

    • Input dealers: an expense paid “on credit” goes on the dealer’s account; record what you pay them.
    • Traders and buyers: a sale where you received less than the net goes on their account; record what they pay you.
    • Contract companies: keep the crop, the agreed rate and the terms as written, the inputs they supplied on credit, their advances, your deliveries as sales, and the settlement — one account shows what is left either way.

Your data stays on this device

    • Plots, crops, entries and bill photos are kept in this browser on this device (IndexedDB). Nothing is uploaded and you need no account.
    • Bill photos are made smaller on the device (at most 1,280 pixels) before they are kept.
    • Set a passcode under Data & backup to keep the diary encrypted (AES-256). Clearing the browser’s site data deletes it: download an encrypted backup regularly. Your own entries also download as CSV files.

    Limitations

    • No market, mandi or support prices: every rate is the one you type.
    • It does not check eligibility for any loan, insurance or subsidy, and it is not an account book for tax.
    • One device: the diary does not sync. To move it, restore an encrypted backup on the other device.
    • Area measured by walking is an estimate as good as the phone’s GPS; screens are in English.
    • Doses are recorded as you used them: the diary does not suggest or check any dose.

    Privacy

Your fields, crops, money, workers and bill photos stay in this browser on this device and are never uploaded. GPS positions of a walk stay in the page; only the area is kept.

    Frequently asked questions

What do I get without a pass?

Without a pass, Farm Diary & Crop Profit Register (kheti hisab) shows the whole diary on this device, with crop, season and plot reports as page images marked “MySmartCoPilot preview · not for use”. Until you unlock it, the result can’t be downloaded, printed or shared. A Pro, Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

Which costs count in a crop’s profit?

The expenses written for that crop, the wages of the attendance days marked on it, and the deductions taken from its sales. Rent for the year, a pump repair and other costs written for a plot or the whole farm show in the plot report and the farm account instead.

Can I keep photos of bills?

Yes. Add an expense and press Photo of the bill: the camera opens on a phone. Up to six photos a bill are kept on this device, made smaller first.

How do I record a spray?

Use Work done → Spray: the crop, the product, its batch number and the dose as you used it, the area and who sprayed. The crop report lists every spray and fertiliser in order.

Does it work for bigha, guntha or hectare?

Yes. Plots can be in acres, hectares, gunthas, cents, ares, the West Bengal or Haryana bigha, or your own local unit with its size from your land record (Settings). Reports are in the area unit you choose.

Can I see what I owe the dealer and what the trader owes me?

Yes, under Udhaar: each account shows its balance and every entry. Credit purchases, sales not fully paid, and payments either way are all counted.

Is a GPS walk accurate enough to bill or buy land by?

Use it as an estimate: phone GPS is usually a few metres out, and the diary shows how precise it was. For a sale, a lease or a dispute, go by the land record.
