A quotation for a tour package that a travel agent can send the same day: the trip (package name, places, dates, travellers), a day-wise itinerary with what happens each day, meals, the overnight stop and a photo, the hotels with nights, room and meal plan, transfers and sightseeing, what is included and what is not, the price — rows of people × price, a discount and the tax lines you type — a payment schedule, your own cancellation policy and terms, and your company’s name, logo and licence numbers.
The quotation comes out as a branded PDF, a phone summary picture for WhatsApp and a short text to paste into a chat. Behind it sits an internal cost sheet — your net rates, loaded from a vendor price list if you like, and your markup — that never appears on anything the client sees. Quotations and reusable packages are saved in this browser. In the free preview, the pages show as images marked “MySmartCoPilot preview · not for use”, with the totals and taxes on them hidden; a Premium pass gives the clean PDF, pictures and text.
How to use it
- Fill in Your travel company once: name, contact, licence lines and logo. It is kept for every quotation.
- Under Client and trip, name the package, the client, the first day of the trip and the travellers.
- Write the day-wise plan: a title, what happens, the meals and where the night is spent; add a photo where it helps. Then the hotels, transport, sightseeing and what is and is not included.
- Add the price rows (for example “Per adult, twin sharing” × 2), a discount, and each tax line with the rate in force; then the payment schedule and your cancellation policy.
- Check the preview (paper or phone) and the list under it. Without a pass the quotation stays a free preview; with a Premium pass, Download PDF, make the phone summary or copy the text for WhatsApp.

Taxes in the price
The quotation has no tax rate of its own: you add each tax as a line with its name and rate, charged either on the price after the discount or on the price with the lines above it (for a tax that is worked out on an amount that already includes another). In India that may be GST on a tour operator’s service and tax collected at source (TCS) on an overseas tour package; elsewhere VAT, a tourist tax or a service charge. Rates and thresholds change with budgets and notifications: check them on the official sites — for India CBIC’s GST portal and the Income Tax Department — or with your accountant before you quote.
The client’s copy and your cost sheet
- The quotation PDF carries the trip, the day-wise plan, hotels (as named or similar), transport and sightseeing, inclusions and exclusions, the price with its tax lines, the payment schedule, your cancellation policy, terms, how to pay, how long the price is valid and a line for the client to accept it.
- The phone summary is one or two pictures sized for a phone: the trip, one line a day, the hotels and the price — easy to forward on WhatsApp.
- The cost sheet lists your costs, the markup and the margin against the quoted price. It is a separate PDF, marked internal, and none of it reaches the client’s documents.
Hotels, meal plans and dates
Give the first day of the trip and every day of the plan gets its date; each hotel gets its check-in and check-out from the nights before it. Meal plans can be typed freely or picked from the usual ones: room only (EP), breakfast (CP), breakfast and dinner (MAP), all meals (AP) and all-inclusive. The list under the preview warns when the hotels add up to more or fewer nights than the plan.
Packages you reuse
Save as a package keeps the plan, hotels, price rows, inclusions and terms without the client and the dates. Opening a package starts a new quotation with the next number: add the client and the dates and it is ready. The quotation file (JSON) moves a quotation, with its photos, to another device.
Limitations
- Prices are typed by you; the tool does not look up hotel or flight rates and does not book anything.
- Up to 45 days, 30 hotels and 30 price rows in a quotation; photos are made smaller on your device.
- Lines in scripts other than Latin and Devanagari are drawn in the PDF with this device’s fonts as pictures: they print well but cannot be selected.
- Everything is kept in this browser on this device: clearing the browser’s site data deletes saved quotations, so keep a quotation file of the ones you need.
Privacy
Your quotations, client details, photos and price lists stay in this browser on this device and are never uploaded. Your company details are kept with the tool’s settings in this browser.

Can I write my own cancellation policy?
Yes — the policy is yours to write, one rule a line, and it is printed as you wrote it. The tool gives no policy of its own, because what is fair and lawful depends on your suppliers, your country and your terms.
Why are there no GST or TCS rates built in?
Because they change with budgets and notifications, and which one applies depends on the package and the buyer. Add each tax as a line with the rate you have checked; the quotation shows its name, rate and amount.
Does the client see my costs or markup?
No. The cost sheet is a separate internal PDF; the quotation, the phone summary and the WhatsApp text are made only from the client-facing parts.
How do I send it on WhatsApp?
Make the Phone summary and share the picture from your phone, or press Copy for WhatsApp and paste the text into the chat; attach the PDF for the full details. Nothing is sent from this page.
Can I use another currency?
Yes. Choose the currency under Client and trip; it starts with your country’s. The amounts are shown with its symbol or code and its usual number of decimals.
