About the Trip Budget Calculator
Add up a trip before you book it. List the costs under getting there and around, places to stay, food and drink, activities, visas and insurance and other costs, and say how each one counts: once for the trip, per traveller, a night, a day or per traveller a night or a day. A hotel at 120 a night for 4 nights, meals at 40 per traveller a day for 2 people over 5 days — the calculator multiplies it out.
Enter each cost in the currency you will pay it in: it is converted to your home currency at the European Central Bank’s reference rate (or a rate you type, such as your card’s). Add a contingency buffer for the unexpected, and see the budget in all, per person and per day. Mark who paid what, and Settle up sends the trip to the Expense Splitter with the travellers and those costs already in. Your budget is saved in this browser only.
How to use it
- Enter the trip’s name, your home currency, the number of travellers and nights (the days follow, and can be changed).
- Under each heading, type the cost, its amount and the currency you will pay it in, how many (two rooms: × 2) and how it counts — for the trip, per traveller, a night or a day. Add or remove costs as you need.
- For a cost in another currency, check the exchange rate: the ECB reference rate is filled in when this site has it; type your bank’s or card’s rate to use that instead.
- Set a contingency buffer (10% is a common choice) and read the budget, per person and per day, with the share of each kind of cost.
- To share costs later, type the travellers’ names and choose who paid each booking, then press Settle up in the Expense Splitter. Copy the summary or download the CSV to keep a copy.

How each cost is counted
- For the trip: once — a car rental package, a group tour.
- Per traveller: × the number of travellers — flights, visas, insurance, passes.
- A night: × the nights — a hotel room or a rental; set the quantity to 2 for two rooms.
- Per traveller a night: × travellers × nights — hostel beds, tourist tax per person a night.
- A day: × the days — a hire car, a driver.
- Per traveller a day: × travellers × days — meals, daily spending money.
The budget is the sum of every cost in your home currency, plus the contingency buffer; per person divides it by the travellers, per day by the days.
How exchange rates are used
Costs in other currencies are converted with the European Central Bank’s euro reference rates, crossed through the euro when neither currency is the euro (rupees to US dollars = the euro rate of the dollar ÷ the euro rate of the rupee). The ECB publishes about 30 currencies; for others, type the rate. Banks, cards and exchange counters charge their own rate, usually a little worse, so type theirs when you know it or keep some buffer.
Settling up afterwards
When several people share a trip, one often books the hotel and another the flights. Choose who paid each cost and Settle up in the Expense Splitter opens the Expense Splitter with a group of the travellers and those costs split equally, each in its own currency at the rate used here. The group travels inside the link itself, after the #, so nothing is stored on a server; save it there and keep adding what you spend on the trip.
Limitations
- Reference rates are not the rates you will get: cards, banks and cash exchanges add their own margins and fees.
- All travellers count the same for “per traveller” costs; for children’s fares or prices, use a separate line with its own quantity.
- Every amount is yours to enter: the calculator has no prices for flights, hotels or visas.
Privacy
Your budget is worked out and saved only in this browser. The exchange rates are downloaded from this site; your trip, names and amounts are never sent. Settling up puts the group inside the link to the Expense Splitter, not on a server.
Frequently asked questions
How do I calculate a travel budget per person?
Add every cost for the whole group, add a buffer, and divide by the number of travellers. For two people with ₹1,37,800 of costs and a 10% buffer, the budget is ₹1,51,580, or ₹75,790 per person.
How much contingency should I add to a travel budget?
There is no fixed rule; 10% is a common choice. Add more for long trips, trips with prices you have not checked, or when you pay with cards that add a foreign-exchange fee.
Which exchange rate does the calculator use?
The European Central Bank’s reference rate, when this site has it for both currencies, or the rate you type. Type your bank’s or card’s rate to see what you will really pay.
Can I budget for currencies the ECB does not publish?
Yes. Choose the currency and type the rate yourself: how many units of your home currency one unit of it costs.
How do I split the trip’s costs with friends?
Type the travellers’ names, choose who paid each booking and press Settle up in the Expense Splitter. The splitter opens with the group and those costs, works out the balances and lists the fewest payments that settle everything.

Yes, in this browser only, as you type, so it is there when you come back on the same device. Start over clears it. Download the CSV to keep a copy elsewhere.
