About the Daily Progress Report (DPR) Maker for Construction Sites

Write the day’s daily progress report (DPR) for a site in a few minutes: the weather and shift, manpower by trade and contractor, work done against the bill of quantities with the quantity to date and the % complete, materials received and used, equipment hours, hindrances, safety notes, instructions received and tomorrow’s plan, photos with captions and signatures — then download or share it as a PDF with labels in English or Hindi.

Add the project’s BOQ once (type the items, or paste them from a spreadsheet — a header line such as “Item No., Description of Item, Unit, Qty, Rate, Amount” is understood) and every report counts today’s work against it: previous + today = to date. Continue from the last report copies the manpower, equipment and work items, so the next day only needs today’s figures. The manpower can be filled in from the Labour Attendance Register kept on the same device. Weekly or monthly progress summaries add the reports of a period up in a PDF or an XLSX file. Projects, reports and photos stay on this device.

How to use it

  1. Add a project: its name, client, contractor, location and, if you like, a logo or letterhead. Open Bill of quantities to add the items: item no., description, unit and BOQ quantity — or paste them from your BOQ spreadsheet.
  2. Choose the date and press New report (or Continue from the last report). Fill in the shift, working hours and weather.
  3. Add manpower by trade (or press From the labour register), the work done today for each BOQ item, materials received and used, and the equipment.
  4. Write the hindrances, safety notes, instructions and tomorrow’s plan. Add photos and a caption for each; the camera’s own time and location are shown as the camera recorded them.
  5. Type the names of who prepared and checked the report — and draw signatures if you want them on the PDF.
  6. Press Download PDF or Share PDF. At the end of a week or a month, make the progress summary in PDF or XLSX.

Examples

Progress to date
Input
BOQ item 5.3 Brickwork 230 mm, 120 m³ · earlier reports 8.25 m³ · today 10 m³
Result
Previous 8.25 + today 10 = 18.25 m³ of 120 (15.2%)
More than the BOQ
Input
PCC in foundation, BOQ 50 m³ · 32.5 m³ before · today 20 m³
Result
52.5 m³ to date — 105%, shown in red on the report so the extra quantity is noticed.
A week’s summary
Input
Three reports: masons 4, 4 and 5; helpers 6, 5 and 6
Result
Man-days: helpers 17, masons 13 — 30 in all, with the quantities, materials and equipment hours of the week.

What goes in the report

  • Report details: report number, date and day, shift (day, night or both), working hours, morning and afternoon weather and the temperature.
  • Manpower: trade, contractor or gang, number of workers and hours.
  • Work done today: the BOQ item (or work outside the BOQ), today’s quantity, the location and remarks; the PDF adds the BOQ quantity, the previous quantity, the quantity to date and the % complete.
  • Materials received (quantity, supplier, challan or bill number) and used (quantity, what for).
  • Equipment: number of machines, working and idle hours.
  • Notes: hindrances and delays, safety (incidents, toolbox talks, PPE), instructions received, the plan for tomorrow.
  • Photos with captions, two to a row in the PDF.
  • Signatures: prepared by, checked by and the client’s representative — typed names, with drawn signatures if you add them.

Sections you leave empty are left out of the PDF.

Photos and the camera’s time and place

Each photo shows the time and the GPS location the camera wrote into it (the Exif DateTimeOriginal and GPS tags of the Exif standard, CIPA DC-008), labelled “as recorded by the camera”. They are read-only: the page does not let you type or change them, because an editable stamp would make progress photos easy to fake. They are also not proof — a camera’s clock can be set wrong, and messaging apps often remove this data, in which case the photo says so. Photos are made smaller (1,600 pixels on the longer side) on your device and kept with the report; they are never uploaded.

Manpower from the labour register

If you keep daily attendance in the Labour Attendance Register in this browser, press From the labour register, choose its site and press Fill in the headcount of this date: workers marked present, half day or double shift on the report’s date are counted by trade and by gang or sub-contractor. Nothing leaves the device — both tools read the same browser storage.

Weekly and monthly progress summaries

Choose a period (or Last 7 days / This month) and download the summary PDF or XLSX: for every BOQ item the quantity done in the period, to date and the % complete; work outside the BOQ; man-days by trade and contractor; total materials received and used; equipment working and idle hours; and the hindrances, safety notes and instructions of each report, by date. The XLSX has a sheet for each, ready for a client’s format or a billing sheet.

Limitations

  • Reports are kept in this browser on this device. Clearing the browser’s data removes them, so keep each day’s PDF as the record; there is no sync between devices.
  • Photos without Exif data (sent through most messaging apps, or screenshots) show no camera time or location; the page cannot add one.
  • The quantities are what you enter: the report does not measure work or check it against drawings, rates or bills.
  • Labels are in English or Hindi. Text you type in other scripts makes the PDF pages pictures (drawn with your device’s fonts) instead of text.
  • The first PDF needs a connection to download the PDF engine and fonts once.

Privacy

Everything stays on your device: projects, reports, photos and signatures are kept in this browser’s IndexedDB storage until you delete them — a report, a project, or everything at once with Delete all projects and reports at the bottom of the tool — and the PDF and XLSX files are made in the browser. Nothing is sent to MySmartCoPilot or anyone else unless you share a file yourself — or follow a photo’s “Open … on OpenStreetMap” link, which opens openstreetmap.org at the position the camera recorded.

Frequently asked questions

What is a DPR in construction?

A daily progress report: the site’s record of each day — who worked, what was done and how much, what material came and was used, what machines ran, what held the work up, and photos. Clients, consultants and contractors use it to follow progress and to back up bills and claims for delays.

How is the % complete worked out?

For each BOQ item, the quantities of all earlier reports of the project are added to today’s: previous + today = to date. The % complete is to date ÷ BOQ quantity × 100. When one item has two rows in a report (work at two locations), the second row’s previous includes the first, so its to date is the item’s true total. Work recorded without a BOQ item has no percentage.

Can I make the report in Hindi?

Yes — choose हिन्दी PDF at the top of the report. The headings and labels are printed in Hindi; what you type is printed as you typed it, in Hindi or English.

Can the photo time or location be changed?

No. They are read from the photo as the camera wrote them and shown read-only, so the report never carries a time or place someone typed in. If a photo has none, the report says so.

Do I have to type yesterday’s manpower again?

No. Continue from the last report starts a new report with the last one’s manpower, equipment and work items, with today’s quantities empty — change only what changed.

Are my photos uploaded?

No. They are made smaller and stored in this browser on your device, and go into the PDF on the device.
