About the Labour Attendance (Hajri) Register & Wage Sheet (India)

A daily attendance (hajri) register for contractors and site supervisors in India. Add your sites and workers — name, work, daily, hourly or piece rate, overtime rate and an optional phone number — and mark each day with one tap: P present, ½ half day, D double shift, A absent, L leave or H holiday, with overtime hours, in and out times or the work done.

Record advances (udhar, kharchi), expenses a worker paid, deductions and bonuses. On payday (hafta) the register works out wages + overtime − advances − deductions = payable for every worker, carries any balance to the next week, and makes a 31-day muster roll, a wage sheet (PDF and XLSX) and wage slips in English, Hindi, Marathi, Gujarati, Tamil, Bengali, Telugu or Kannada that you can share one at a time from your phone. Everything is kept in this browser on your device — no account, no upload.

How to use it

  1. Add a site (for example “Sharma house, Plot 12”), then your workers: name, work, how they are paid and the rate. Paste a list to add several at once — or press Continue in the register in the Daily Wage Calculator.
  2. Every day, open Attendance, check the date and tap P, ½, D, A, L or H for each worker. Add overtime hours with + and −; open “In / out, work done, note” for times, piece-rate work or a note. Mark the rest present fills in everyone not yet marked.
  3. When you give money, add it on Advances: an advance or kharchi is taken back from wages, an expense the worker paid is added, and so are bonuses.
  4. On payday open Pay, choose the week ending on your payday (or a month end, or a date), check the advance to recover and the amount paid for each worker, and press Record payments. Those days are then locked; the latest payment can be undone.
  5. Download the wage sheet (PDF or XLSX), the slips (one PDF, a ZIP, or a picture to send on WhatsApp) and the muster roll of the month.
  6. On Backup & settings, download a password-protected backup every week, set your payday and what leave, holidays and double shifts are paid, and add your name or company for the slips.

How the amounts are worked out

  • Paid by the day: days × daily rate, where P = 1 day, ½ = half a day, D = 2 days (or the number you set) and A = 0. Leave (L) and holidays (H) count as a full day only if you switch that on in the settings.
  • Paid by the hour: the hours between the in and out times, less the unpaid break you set (60 minutes to start with) and less the overtime hours of that day, which are part of that time and are paid at the overtime rate — or the hours of a normal day when no times are entered (the overtime is then on top) — × the hourly rate.
  • Piece rate: the units of work entered each day (sq ft, bricks, bags…) × the rate per unit.
  • Overtime: overtime hours × the overtime rate. When you leave the rate empty it is set to twice the normal hourly rate — the daily rate ÷ the hours of a normal day (8 to start with) × 2.
  • Payable = balance from the last payment + wages + overtime + bonuses + expenses repaid − deductions − advance recovered. If you pay less, the rest is carried forward; if you pay more, the extra becomes an advance.
  • Money is worked out to the paisa on every line; totals add the rounded lines.

India’s Code on Wages: overtime, deductions and registers

The Code on Wages, 2019 says that overtime is paid at a rate “not less than twice the normal rate of wages” (s.14); that recovery of advances is one of the deductions allowed from wages (s.18(2)(f)); and that all deductions in a wage period together “shall not exceed fifty per cent. of such wages” (s.18(3)), any excess being recovered in the manner the rules prescribe (s.18(4)). For the payment of wages, overtime counts as wages (the second proviso to s.2(y)). With Keep deductions and advance recovery together within 50% on, each payment recovers at most half of the period’s wages and overtime, less the other deductions, and carries the rest of the advance to later paydays; the wage sheet prints that note only when every row keeps to it. The Code also requires wages to be paid on time — weekly wages on the last working day of the week, before the weekly holiday (s.17) — and employers to keep a register of the persons employed, the muster roll and wages, and to give wage slips, in the form the rules prescribe (s.50).

This register keeps those records in a working layout. It does not reproduce the statutory forms of the Code on Wages (Central) Rules or of your State’s rules, which can differ; if an inspector asks for a prescribed form, copy the figures into it or check with your State’s labour department.

Paydays, payments and locked days

Choose your weekly payday (hafta) in the settings — Saturday to start with. Pay shows every worker with something to settle up to the date you choose: the period starts the day after that worker’s last recorded payment, so a missed week is never left out. You can change the advance to recover and the amount actually paid for each worker before pressing Record payments. Recorded days are locked so the slips already given stay right; to change one, undo that worker’s latest payment, correct the attendance and record it again. A payday you record before it comes locks the days up to it as well — the page says so before you record it.

Muster roll, wage sheet and wage slips

  • Muster roll: one A4 landscape page per site and month, with every worker’s P, ½, D, A, L or H for each day, overtime hours under the code, the days paid and the daily headcount. PDF in English, Hindi or Marathi, and XLSX.
  • Wage sheet: the payments of a period with days, rate, wages, overtime, deductions, advance recovered, previous balance, net payable, paid, balance, and a column for the worker’s signature or thumb impression. PDF and XLSX.
  • Wage slips: one A5 page per worker, in English, Hindi, Marathi, Gujarati, Tamil, Bengali, Telugu or Kannada. Download one, all of them in one PDF, a ZIP, or a picture (PNG) — or press Share to send one slip at a time through your phone’s share menu.

English, Hindi and Marathi text goes into the PDF as real text. Slips in the other languages, and documents with names typed in those scripts, are drawn by your browser with your device’s own fonts and saved as pictures — they print and share the same way.

A supervisor’s phone and the office copy

The register lives in one browser on one device; nothing is synced through a server. To work on two devices, make a backup in the office, restore it on the supervisor’s phone, let the supervisor mark attendance there, and later choose Merge with the supervisor’s backup in the office: for every day, worker and entry the newer change wins, deletions carry over, and the office settings stay. A payment recorded on both devices for the same days is kept once and the other is reported, and so are days the supervisor marked that fall inside a payment the office has already recorded (undo that payment and record it again to include them).

Backup files are encrypted with your password (AES-256-GCM, with a key made by PBKDF2-SHA-256 at 600,000 iterations), so a file sent on WhatsApp or email shows no names or phone numbers without it. The password is not stored anywhere: if you forget it, the backup cannot be opened.

Keeping your register safe

The register is saved in this browser’s storage on your device a moment after each tap. Clearing the browser’s data deletes it, and Safari deletes a website’s saved data after seven days of using Safari without opening that site, unless the site is added to the Home Screen — so download a backup every week. The page shows how long ago the last backup was made. Workers’ names and phone numbers stay on your device; no ID number is asked for.

Limitations

  • Records what the supervisor marks: no GPS, face or “fraud-proof” attendance.
  • Does not reproduce the statutory registers and forms of the Code on Wages (Central) Rules or State rules; the muster roll and wage sheet are working records.
  • Minimum wages, State working hours and lawful deductions are not checked — the rates and entries are yours.
  • A worker has one rate at a time, and a changed rate counts for every day not paid yet: when a new rate starts in the middle of a pay period, record the payment up to the day before it first.
  • One device at a time: other devices are brought in through backup files and Merge, not live sync.
  • The first PDF, XLSX or ZIP needs a connection to download the document engine and fonts once.
  • The screens are in English; documents are printed in English, Hindi and Marathi, and slips in eight languages.

Privacy

Everything stays in this browser on your device: sites, workers, attendance, money and payments are kept in its IndexedDB storage and never sent to MySmartCoPilot or anyone else. Files are made on the device, and a backup leaves it only when you download or share it yourself — encrypted with your password.

Frequently asked questions

Is my workers’ data uploaded anywhere?

No. The register is kept only in this browser on your device. There is no account and no server copy — which is also why the weekly backup file matters.

What do P, ½, D, A, L and H mean?

P present (one day), ½ half day, D double shift (two days, or what you set), A absent, L leave and H holiday (unpaid unless you switch paid leave or paid holidays on). A number under the code on the muster roll is overtime hours.

How is overtime paid?

Overtime hours × the overtime rate. Leave the rate empty and it is twice the normal hourly rate: ₹800 a day ÷ 8 hours = ₹100 an hour, so ₹200 for each overtime hour — the minimum India’s Code on Wages sets (s.14).

Can I take back a whole advance in one week?

Under the Code on Wages all deductions in a wage period, advances included, may not be more than half of the wages (s.18(3)). With the 50% option on, the register recovers up to that limit and carries the rest; you can switch the option off if the law does not apply to your work.

How do I send a slip to a worker?

On Pay, press the share button next to the worker (or next to a recorded payment) and pick WhatsApp or any app; or download the slip as a picture or PDF. Each slip is shared on its own, only when you tap.

What if I change the attendance after paying?

Paid days are locked. Undo that worker’s latest payment on Pay → Recorded payments, correct the days, and record the payment again.

Does it give the statutory register forms?

No — it keeps the attendance, wages, deductions and slips in its own layout. The Central Rules and each State’s rules prescribe their own forms; copy the figures into them where they are required.
