About the Bank Statement PDF to Excel / CSV

Turn a bank or credit-card statement PDF into one clean transaction table — Date, Description, Debit, Credit, Balance — ready for Excel, Google Sheets or your accounts. The statement’s table is found by its header (Date, Narration, Particulars, Withdrawal, Deposit, Amount, Balance and similar labels), rows are collected across all pages, narrations that wrap over several lines are joined, repeated headers and page footers are left out, and amounts and dates are normalised whether they are written the Indian, US or European way.

Every row with a running balance is checked: previous balance + credit − debit must equal the balance printed. Rows that don’t add up are flagged, so a misread amount can’t slip through unnoticed. Password-protected statements open with your password on your own device — the file is never uploaded — and the table downloads as an Excel workbook (real dates and numbers, plus a summary sheet) or a CSV file.

How to use it

  1. Choose the statement PDF. If it is password-protected, type the password from the email the statement came with.
  2. Check the summary: number of transactions, period, totals and the balance check. Flagged rows are highlighted in the table.
  3. If something was read wrongly, open Reading options and columns to change how dates or amounts are written, or what a column holds.
  4. Download Excel (.xlsx) or CSV, or copy the table to paste into a spreadsheet.

How the balance check works

For every row that has a balance, the balance before it plus the credit minus the debit must equal the balance printed: for example 8,800.00 + 300.00 − 0.00 = 9,100.00. When it doesn’t, the row is flagged with the balance that was expected. A flagged row usually means an amount was read into the wrong column, a line of the PDF is missing, or the statement itself has a correction entry.

The same check settles things the layout can leave open: whether the statement lists the newest transactions first (the table is then put in date order), whether an unlabelled amount column is a debit or a credit, and — for a single Amount column without Dr/Cr marks — which amounts are money in and which are money out. Card statements, where purchases raise the balance, are recognised the same way. When the statement shows no running balance, there is nothing to check against: compare the totals with the statement’s own summary.

Number and date formats

  • Indian: 1,23,456.78 — lakh and crore grouping is kept in the Excel number format.
  • US / international: 1,234,567.89.
  • European: 1.234.567,89 or 1 234 567,89 (decimal comma).
  • Debits written as −500.00, (500.00), 500.00 Dr or 500.00- and credits as 500.00 Cr are all recognised.

Dates such as 03/04/2026, 03-04-26, 03.04.2026, 3 Apr 2026, 03-Apr-26, Apr 3, 2026 and 2026-04-03 are read. Whether 03/04 means 3 April or March 4 is worked out from the dates themselves (a day above 12 settles it; otherwise the order that keeps the dates in sequence); you can set it yourself. Dates printed without a year take it from the statement period, moving into the next year where a statement runs from December into January.

What is recognised

Header labels such as Date / Txn Date / Transaction Date, Value Date, Narration / Description / Particulars / Details / Remarks, Chq./Ref. No., Withdrawal / Debit, Deposit / Credit, Amount, Dr/Cr and Balance / Closing Balance — and the usual labels of German, French, Spanish, Italian, Dutch and Portuguese statements (Buchungstag, Verwendungszweck, Soll, Haben, Libellé, Débit, Crédit, Solde, Saldo …). Header labels that wrap onto two lines are joined. Opening-balance lines are used for the check; closing-balance, total and summary lines are not taken as transactions; sections headed “Deposits” or “Withdrawals” sign the amounts under them.

Limitations

  • Scanned statements (pictures of pages) have no text to read: make them searchable with OCR PDF first.
  • Layouts without a header row, statements with several accounts in one file, or headers in other languages than those listed may not be read correctly — check the result, or use PDF to Excel for a plain table.
  • Long narrations are sometimes cut mid-word by the bank’s PDF; the pieces are joined back as well as possible, but a space may be missing or extra.
  • A single Amount column without Dr/Cr marks, minus signs or a running balance can’t say which amounts are money in: they are all listed as debits, as on card statements.
  • This tool reads what the statement shows. Always compare the totals with the statement before relying on them; it is not an accounting or tax service.

Frequently asked questions

Is my bank statement uploaded anywhere?

No. The PDF is opened and read by your browser on your device, and the Excel and CSV files are made there too. Nothing — not the file, not the password, not the transactions — is sent to MySmartCoPilot or anyone else.

My statement is password-protected. What is the password?

The bank chooses it and usually explains it in the email that came with the statement — often part of your name, your date of birth, your customer ID or the last digits of your account or card number. Type it when asked; it is used only on your device.

What does “Check — expected …” mean?

That row’s balance doesn’t equal the previous balance plus its credit minus its debit. Look at the row in the PDF: usually an amount was read into the wrong column or a line is missing. Rows that add up show “OK”.

The dates came out as month and day swapped. How do I fix it?

Open Reading options and columns and set Dates are written to Day first or Month first. The table is read again at once.

Does it work with my bank?

It doesn’t use a list of banks: it reads the statement’s table from its column headers, so it works with the common layouts — separate Withdrawal/Deposit (Debit/Credit) columns, or one Amount column with Dr/Cr marks, signs or a running balance. If a column is read wrongly, change it under Reading options.

Can I import the result into Tally or QuickBooks?

The Excel and CSV files are plain transaction tables, which most accounting software can import with its own import tool or a mapping template. Tally, QuickBooks and OFX formats aren’t created here.
