Getting a PDF back into something you can edit

For office workers, accountants, students and publishers holding a PDF they need to change: a report to edit in Word, a statement or a table to analyse in Excel, slides to present again, pages to post as images, or a book to read on an e-reader.

How to choose

Pick the format you need at the end:

A PDF records where each letter sits on the page, not where a paragraph or a table cell begins, so complex layouts may need tidying after conversion.

PDF to PowerPoint (PPTX) Pro tool Converts each PDF page into a slide of a PPTX file so a deck that only exists as a PDF can be presented again. PDF Free preview: the first slides of the presentation (up to 2) as watermarked images with their speaker notes, and a summary of the whole file No Yes

Worked example: rejoining words split at the end of a line

A PDF of meeting notes has three printed lines: “Prepare the docu-”, “ments before the meet-” and “ing starts.” Copying it gives broken words.

  1. A PDF stores each printed line on its own, so a word hyphenated at a line end arrives in two pieces, such as docu- and ments.

  2. The extractor joins a line that ends in a hyphen with the first part of the next line, so the first line becomes “Prepare the documents”.

  3. It does the same for meet- and ing, so the second line becomes “before the meeting”.

  4. The text now reads “Prepare the documents”, “before the meeting”, “starts.”, ready to search or paste without stray hyphens.

Questions

Why does the converted Word file not look exactly like the PDF?

A PDF fixes every letter to a position on the page, while Word flows text into paragraphs. Simple pages convert closely; columns, text boxes and unusual fonts may need adjusting afterwards.

Can a scanned PDF be converted to Word or Excel?

Only after OCR has read its letters, since a scan holds pictures of the pages. Run OCR first, then convert the searchable result.

Will a bank statement keep its numbers right?

The statement converter keeps amounts and balances as numbers and checks the table it builds; still compare its totals with the statement before you rely on them.

Is my PDF uploaded?

The converters read the file you open inside your browser; a tool that needs to fetch anything, such as a language for OCR, says so on its own page.
