Criteria and weights
Weights are shares of the score: they need not add up to 100. Score a criterion on the scale, or give a measured value — a price or lead time where lower is better, a capacity where higher is better — and it is normalised.

Purchase-order lines
PO number, supplier, item, quantity ordered and the due date (promised or needed by); the unit price for the price variance.
Goods receipts
PO number, item, receipt date and quantity received (accepted and rejected if you record them); the price paid for the price variance.

About the Vendor Evaluation Scorecard (Selection & Performance)
Two jobs in one scorecard. Selection: choose between suppliers on weighted criteria — price, quality, delivery, service, financial stability, compliance, or your own — scored on a scale of 0–5, 0–10 or 0–100, or entered as measured values (a price or a lead time where lower is better, a capacity where higher is better), which are normalised. You get a score out of 100 for each supplier, the ranking, and a sensitivity check: for every criterion, how far its weight can move before another supplier wins, worked out exactly.
Performance: open your purchase-order lines (with due dates) and goods receipts for a period, and each supplier gets its on time, in full and on-time-in-full (OTIF) rates, its average delay, its rejection rate and, when both files carry prices, its price variance — then a score and an A, B or C rating on the weights and limits you set. Each figure shows the definition used, because companies measure OTIF differently: grace days, early deliveries, a tolerance for small shortfalls and counting per line or per order are all yours to set.
Without a pass the scorecard is a free preview: the first rows of each ranking and a watermarked chart show, and the sensitivity check is hidden; the PDF scorecards, the workbooks, the ratings CSV and the summaries unlock with a Premium pass. Your scores, files and settings stay on this device.
How to use it
- For a selection, list the criteria with their weights and say how each is scored: a score on the scale, or a measured value where lower or higher is better.
- Add the suppliers and give each one a score or a value for every criterion.
- Read the ranking and, beside it, the sensitivity: how far each weight can move before the winner changes.
- For performance, open the Performance tab, drop your PO lines (PO number, supplier, item, quantity, due date) and your goods receipts (PO number, item, date, quantity received and rejected), and set the period, grace days, tolerance, weights and grade limits.
- The PDF scorecards, the workbooks and the ratings CSV unlock with a Premium pass; without one each ranking stays a free preview.
Examples
Price 35% (lower is better: 42,000, 39,500 and 45,000), quality 25%, delivery 20%, service 10%, financial stability 10% (scores out of 5)
EcoPack 89.72, BoxCraft 82.92, Prime Cartons 76.00. EcoPack stays first until price weighs 68.8% of the score; above that BoxCraft is first.
The cheapest supplier scores full marks on price (39,500 ÷ 39,500), the others in proportion (39,500 ÷ 45,000 = 0.878).
BoxCraft: three lines due, all first deliveries on time; one line got 495 accepted of 500 ordered
On time 100%, in full 66.7%, OTIF 66.7%; rejection 0.2%; score 83.27: B. With a 1% tolerance the short line counts as in full: OTIF 100%, score 99.94: A.
EcoPack: one line on time and complete, one line of 50 received complete two days after its due date
On time 50%, in full 100%, OTIF 50%, average delay of late lines 2 days; score 75: B.
Common uses
- A purchase committee choosing a supplier with criteria and weights agreed before the scores are given.
- Checking whether the chosen supplier would still win if price mattered a little more, or quality a little less.
- Quarterly supplier reviews: OTIF, rejections and price variance per supplier, with the definitions written down.
- Preparing for a supplier meeting with the late and short lines in hand.
How the selection score is worked out
- Normalising: a score ÷ the top of the scale; for “lower is better”, the lowest value ÷ the supplier’s value; for “higher is better”, the supplier’s value ÷ the highest value. Every criterion then counts from 0 to 1.
- Weighted score = Σ (weight × normalised value) ÷ Σ weights × 100.
- Sensitivity: each criterion’s weight moves from 0% to 100% of the total while the other weights keep their proportions. Each supplier’s score is then a straight line in that weight, so the points where another supplier overtakes the winner are solved exactly. A winner is called robust when every weight can move 10 points either way without changing it.
How performance is measured
- On time: the first delivery against a PO line arrives by its due date (plus any grace days), and not earlier than you allow.
- In full: everything accepted against the line, whenever it came, reaches the quantity ordered (less your tolerance).
- OTIF: the quantity accepted by the due date (plus grace) reaches the quantity ordered (less your tolerance). Rejected goods are not delivered goods.
- Delay: days from the due date to the receipt that completed the line.
- Rejection rate: quantity rejected ÷ quantity received. Price variance: (price paid − PO price) × quantity, over PO price × quantity.
- Score: weights × OTIF%, quality (100 − rejection%) and price (100 − variance% above the PO), from 0 to 100; grades A and B from the limits you set (90 and 75 to begin with), C below. Without prices, the price weight is left out.
Limitations
- Selection scores are the evaluators’ judgement: the scorecard makes them consistent and visible, not objective.
- Performance needs a due date on every PO line and a date on every receipt; receipts are matched to lines by PO number and item.
- Partial deliveries are counted by quantity; units of measure are not converted.
- Up to 30 suppliers and 20 criteria in a selection.

Frequently asked questions
What do I get without a pass?
Without a pass, Vendor Evaluation Scorecard (Selection & Performance) shows the first rows of each ranking (up to 10) and a chart with a watermark; the sensitivity check is hidden. Until you unlock it, the result can’t be downloaded or copied. A Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.
What does the free preview show?
Both rankings are worked out in full on your data: the first rows of each (up to 10) show with their scores, and the charts carry a watermark. The sensitivity check is hidden. The PDF scorecards, the workbooks, the ratings CSV and the summaries unlock with a Premium pass. Your selection file, settings and the blank lists are never locked.
How is OTIF calculated?
Here, a PO line is on time in full when the quantity accepted by its due date (plus any grace days you set) reaches the quantity ordered (less any tolerance you set); OTIF % is the share of lines — or of orders, if you count per order — that are. Some companies count only the first delivery, or allow early deliveries only up to a few days: the settings and the definitions on the page let you match yours.
Do the weights have to add up to 100?
No: each weight counts as its share of the total. 3, 2 and 1 work the same as 50%, 33.3% and 16.7%.
What does the sensitivity check tell me?
For each criterion, the range of its weight in which the current winner stays first, and who would be first below or above that range. A narrow range means the choice depends on that weight: agree the weights before the scores, or look again at the scores of the two suppliers closest to each other.
