About the Credit Note Generator for VAT & Sales Tax

An invoice is final, so when it turns out too high — goods come back, a discount is agreed after the sale, the price or the tax was overcharged, an order is cancelled — the supplier issues a credit note; when it was too low, a debit note. Both point to the invoice they correct and carry their own number.

Open a file saved by the Invoice Generator or type the original invoice, tick the lines the note covers and choose how each one changes: the quantity returned, a percentage, the corrected price or a plain amount. The tool works out the tax per rate, the totals and the amount in words, and lays out the note with what the tax authority asks for: HMRC’s list for a UK VAT credit note, the reference to the amended invoice and the reverse charge in the EU, the ABN on an Australian adjustment note, and a credit memo with the sales tax you charged in the US. Other countries get their own VAT or GST name and standard rate, or any tax you name. Without a pass the free preview shows every page as an image marked “MySmartCoPilot preview · not for use”, with the totals, taxes and amount in words hidden; a Premium pass downloads the A4 or US Letter PDF, prints it and copies it as text. Everything stays in your browser.

How to use it

  1. Choose Credit note or Debit note, the country whose rules apply and the reason.
  2. Press Open file to start from an invoice saved by the Invoice Generator, or type the original invoice number and date and the lines yourself.
  3. Tick each line the note covers and pick how it changes: quantity returned, percentage, corrected price or amount. The value of each line and the totals update as you type.
  4. Fill in your business and the customer as on the invoice, then work through Before you send this note — the details your country’s rules ask for.
  5. With a Premium pass, press Download PDF or Print / Save as PDF; without one, the free preview shows the pages with the totals hidden. Save file keeps an editable copy of your entries to open here again.

Common uses

  • Crediting a customer for goods returned, damaged or never delivered.
  • Passing on a discount agreed after the invoice went out.
  • Correcting an invoice that charged the wrong price or the wrong VAT rate.
  • Charging an undercharge or extra costs with a debit note.
  • Issuing an Australian adjustment note when a sale is cancelled or its price changes.

What a UK VAT credit note must show (VAT Notice 700, 18.2.3)

HMRC’s VAT guide (VAT Notice 700) says a credit note is valid for VAT when it reflects a genuine mistake, an overcharge or an agreed reduction, gives the customer a real right to the money, and is issued within 14 days of the refund being made. It shows:

  • the identifying number and date of issue
  • the supplier’s name, address and VAT registration number
  • the customer’s name and address
  • a description of the goods or services credited, with the quantity and amount for each
  • the total credited, excluding VAT
  • the rate and amount of VAT credited, in sterling
  • the number and date of the original VAT invoice or invoices

VAT is credited at the rate that applied at the tax point of the original supply (18.2.5). A note that changes only what is owed, not the VAT, says “This is not a credit note for VAT.” — choose Changes the amount only. A debit note (18.2.4) shows the same details for an increase and is issued within 14 days of the increase being agreed. When the note is in another currency, enter the exchange rate and the VAT in sterling is printed under the totals.

EU: a note that amends the invoice (VAT Directive, Articles 219 and 226)

Under Article 219 of the VAT Directive, any document that amends the initial invoice and refers to it specifically and unambiguously is treated as an invoice. The note names the invoice it amends by number and date, and shows the details Article 226 lists for an invoice: the date, a sequential number, your VAT identification number, both parties’ full names and addresses, the quantity and nature of what is credited, the taxable amount per rate, the rate and the VAT. Where the customer accounts for the tax — for example a business customer in another member state — Article 226 also asks for the customer’s VAT number and an indication that the reverse charge applies: tick Reverse charge and the note says so and charges no VAT. Member states add rules of their own (e-invoicing duties, for example), so check those for your country.

Australia: adjustment notes (GST Act, section 29-75)

In Australia the document is an adjustment note. Under section 29-75 of the GST Act it is issued by the supplier, sets out the ABN of the business that issues it, contains the other information the Commissioner determines and is in the approved form. The supplier gives it within 28 days after the customer asks for it, or after becoming aware of the adjustment where a tax invoice was issued or asked for. Section 29-80 does not require one for a decreasing adjustment of $50 or less, or a higher amount set by the regulations.

The Commissioner’s determination on adjustment note information asks the note to show that it is an adjustment note and whether the adjustment increases or decreases the GST, the supplier’s identity and ABN, the date of issue, a brief reason, the change to the GST payable and the change in price, and the customer’s identity or ABN where the invoice’s total price is $1,000 or more. The note has a place for each of them; prices start as GST-inclusive, the way Australian invoices usually show them.

United States: credit memos and sales tax

The US has no national VAT: sales tax is set by states and local governments, so the note — called a credit memo (or debit memo) here — uses the rate you charged on the original invoice, typed per line. A refund of sales tax to a customer follows your state’s own rules; the memo records what was credited and the tax on it.

How each line is worked out

  • Quantity returned: the returned quantity × the line’s price on the invoice (or its value after discounts ÷ the quantity invoiced, when the invoice had a discount).
  • Percentage: that share of the line’s invoiced value.
  • Corrected price: the invoiced value − quantity × the corrected price (a debit note: the other way round).
  • Amount: the value you type.

The tax is worked out per rate on the total of each rate and rounded to the currency’s smallest unit, so the printed tax always equals rate × printed value. Opened invoices keep each line’s value after its own discount and its share of the invoice’s overall discount.

Limitations

  • The tool lays out the note and checks the details you enter; it does not decide whether a reduction qualifies, which rate applies or how to report it. Check that the credit note meets your tax authority’s invoicing rules before you issue it.
  • It does not file anything or send the note: record it in your accounts and tax return as your country requires. It makes a PDF and a text copy, not a structured e-invoice.
  • Indian GST credit and debit notes (section 34 of the CGST Act) have their own particulars and time limit: use the GST Credit Note & Debit Note Generator.
  • The PDF draws Latin-script text (with £, €, $ and other symbols); for other scripts use Print / Save as PDF. The first PDF needs a connection to load the PDF engine and fonts.

Frequently asked questions

What do I get without a pass?

Without a pass, Credit Note Generator for VAT & Sales Tax shows every page as images marked “MySmartCoPilot preview · not for use”, with the totals, taxes and amount in words on the pages hidden. Until you unlock it, the result can’t be downloaded, copied or printed. A Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

What is the difference between a credit note and a debit note?

A credit note lowers what the customer owes (returns, discounts, overcharges, cancellations); a debit note raises it (an undercharge or extra charges). Both refer to the original invoice and show the tax they change.

Can I make the credit note from my invoice file?

Yes. Press Open file and choose the .json file saved with Save file in the Invoice Generator: your business, the customer, the invoice number and date, the currency, the tax and every line come over. Tick the lines the note covers and choose how each changes.

Which VAT rate goes on a credit note?

The rate charged on the original invoice. HMRC says the VAT is credited at the rate in force at the tax point of the original supply (VAT Notice 700, 18.2.5), even if the rate has changed since.

Can one credit note cover several invoices?

Yes — HMRC’s list asks for the number and date of the original VAT invoice or invoices. Add each one under Original invoice(s).

Is there a time limit?

In the UK a VAT credit note is issued within 14 days of the refund being made, and a debit note within 14 days of agreeing the increase. In Australia the supplier gives an adjustment note within 28 days after the customer asks for it or after becoming aware of the adjustment. Other countries set their own rules.

What if the credit does not change the VAT?

Choose Changes the amount only. A UK note then says “This is not a credit note for VAT.”, as HMRC asks; elsewhere it says that the tax charged on the invoice stays as it was.

What does the reverse charge option do?

For an EU business customer who accounts for the VAT, the note charges no VAT, says “Reverse charge” and asks for the customer’s VAT number, as Article 226 of the VAT Directive requires.
