About the Event & Wedding Seating Planner
Plan who sits where at a wedding, a party, a gala dinner or a conference. Paste your guest list or open it as a CSV, add round, long or head tables, and either drag guests onto seats or let the planner seat everyone: each party (a family, a couple, a group of friends) stays at one table, keep-together and keep-apart rules are kept, and guests you pinned stay where you put them.
Arrange the tables on the floor plan by dragging them, then print what the day needs: the floor plan, an alphabetical escort list (“find your table”), folding place cards with the name and table, and table lists with meals for the venue and the caterer. Your guest list never leaves your browser. The full printouts come with a pass; the free preview shows their first pages, marked.
How to use it
- Paste your guests, one per line (name, party, meal, notes), or open a CSV of your guest list. A Table column seats guests straight away.
- On Tables, add your tables: how many, round, long or a head table, and the seats each. Drag them on the floor plan to match the room; the zoom buttons bring part of a big room closer.
- On Rules, keep parties together and add who must sit apart (or together). Then press Seat guests: the planner fills tables largest party first, or spreads guests evenly, and lists anyone it could not seat and why.
- Fine-tune by dragging a guest onto a seat (dropping on a taken seat swaps the two) or choosing a table in the guest list. A guest you seat by hand is pinned (the lock), so seating everyone again leaves them there; tap the lock to unpin. Undo takes back any change.
- On Print & files, choose the floor plan, escort list, place cards or table lists and check the pages; the full PDFs and the CSV Download with a pass, or after unlocking this result, while the free preview shows the first pages marked.

How automatic seating works
- Guests of one party and guests joined by a keep-together rule form a group that must share a table.
- Keep-apart rules mean two groups never share a table.
- Pinned guests keep their seat, and the rest of their group joins them at that table. A guest you seat by hand, or who has a Table in your list, is pinned.
- Head tables are filled last, after every other table: seat and pin the couple, the hosts or the speakers there yourself.
- Groups are placed largest first. Fill tables puts each group on the fullest table it still fits (fewer half-empty tables); Spread evenly puts it on the emptiest one. When a choice leaves a later group with nowhere to go, the planner goes back and tries another table.
- Nothing is ever over-filled and no rule is broken: a group that cannot be seated is listed with the reason, so you can make a table bigger, add one or relax a rule.
Seat the unseated guests keeps everyone already seated; Seat everyone again starts over and keeps only pinned guests.
The guest list
Paste names one per line, or rows of a spreadsheet: the name first, then the party, the meal and notes (commas, semicolons or tabs between them). With a header row the columns are matched by name in any order: Name, Party (or Group, Family, Household), Meal (or Menu, Food, Diet), Notes and Table. A CSV template is on the Guests tab. Up to 1,500 guests and 200 tables.
The floor plan
The first tables are laid out in even rows; tables you add later go where they do not overlap the ones already there. When the room is full it grows, so a gala of 60 tables never ends up in a pile; the tables you placed stay where they are, and Arrange tables neatly lays them all out in even rows in a room that just fits them, with head tables across the top.
On a big plan, zoom in with the buttons above it, Ctrl and the mouse wheel or two fingers, and drag the floor to look around. With the keyboard, Tab reaches each table, the arrow keys move it (Shift for bigger steps), and plus and minus zoom.
The printouts
- Floor plan: the room with every table, its name and how many seats are taken, landscape. A room too big to read on one page prints as an overview with its parts numbered, then one enlarged page per part.
- Escort list: every seated guest in alphabetical order (by last or first name) with their table, in two columns, for the welcome table.
- Place cards: four folding tent cards a page; cut on the dotted lines and fold on the dashed one so the name (and, if you like, the table and meal) reads from both sides.
- Table lists: each table with its guests in seat order, their meals and notes, and the meal counts, for the venue and the caterer.
A4 or US Letter. A CSV of the whole seating (name, party, meal, notes, table, seat) opens in any spreadsheet.
Limitations
- The floor plan is a sketch, not to scale: it shows where tables go, not room dimensions, walls or a dance floor.
- Rules work between two guests at a time; for a larger group that must sit together, give them one party name.
- The seat order within a table follows the groups as they were placed; drag guests to change it.
- The plan is kept in this browser on this device: a plan file moves it to another device.
Privacy
Everything happens in your browser: the guest list, the rules and the plan are never uploaded. The plan is kept in this browser’s storage on this device so it is there next time; Start a new plan clears it.

What do I get without a pass?
Without a pass, Event & Wedding Seating Planner shows the whole planner with auto-seating on a marked floor plan, and the first pages of each printout (up to 3) as marked page images. Until you unlock it, the result can’t be downloaded. A Pro, Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. How do I seat guests automatically and keep families together?
Give each family or group the same party name (a Party column in your list works too), add your tables, then press Seat guests. Each party stays at one table, and anyone who cannot be seated is listed with the reason.
How do I keep two guests apart?
On the Rules tab choose the two guests and “Apart from”. Automatic seating never puts them at one table, and the plan warns you if you seat them together by hand.
Can I move one guest without changing everyone else?
Yes. Drag them onto any seat (a taken seat swaps the two guests) or pick their table in the guest list. A guest you seat by hand is pinned to that seat, so “Seat everyone again” leaves them there; tap the lock beside their name to unpin them.
Can it plan a big wedding with many tables?
Yes: up to 1,500 guests and 200 tables of up to 40 seats. The floor plan grows as you add tables, the zoom brings any part of it closer, and Arrange tables neatly lays them out in rows. A large room prints as an overview plus enlarged parts, so every table name can be read.
What is an escort list?
An alphabetical list of guests with their table, shown at the entrance so each guest finds their table. It is one of the printouts, sorted by last or first name.
How do the place cards print?
Four tent cards on each A4 or Letter page. Cut along the dotted lines and fold each piece on the dashed line: the name appears on both sides of the card, with the table name (and the meal, if you choose) underneath.
