About the Combine Duplicate Rows (Sum, Average and Join Values per Key)

An export lists the same customer, product or invoice on many rows — one per order, per shipment, per month. This tool turns them into one row per key: rows with the same value in the key columns (an email address, a product code, a customer and a date together) are combined, and every other column follows its own rule. Amounts and quantities are summed (or averaged, or the smallest or largest kept), text is joined — each different value once, or all of them — with the separator you choose, dates keep the earliest or latest, and other columns keep their first or last value. A Rows combined column says how many rows went into each result.

Keys are compared after the clean-ups you choose (spaces, upper and lower case, accents, punctuation), so “Asha Rao” and “ASHA RAO ” are the same key. Sums are exact decimal arithmetic, so 0.1 + 0.2 is 0.3 and amounts never pick up a rounding error. The settings are remembered by column name: open next month’s export with the same columns and it is combined the same way. Everything runs in your browser, in a background thread; nothing is uploaded.

How to use it

  1. Choose a CSV, TSV or Excel file, or paste cells copied from a spreadsheet. Check First row is the header and, for a workbook, the sheet.
  2. Tick the key columns: rows with the same values in all of them are combined. Choose which differences to ignore when comparing keys.
  3. Check the rule of every other column — sum, average, smallest, largest, count, join different values, join all values, first, last, earliest or latest date, or leave it out. Number columns start as sums, date columns as the latest date and text columns as joined values.
  4. Read the counts and the largest groups, and look at the first combined rows.
  5. With a pass, or after unlocking this result, download the combined file (CSV, TSV or Excel) and the report of which rows were combined, or copy the table; without one the page shows a free preview.

Examples

Ravi,80,Coffee,1

Key: Customer, with spaces and case ignored. Amount: sum. Product: join different values.

Stock by product code
Input
SKU,Warehouse,Qty,Last counted
A-17,North,40,2026-09-02
A-17,South,25,2026-09-14
Result
SKU,Warehouse,Qty,Last counted,Rows combined
A-17,"North, South",65,2026-09-14,2

Qty: sum; Last counted: the latest date; Warehouse: join different values.

Rows whose key is empty
Input
Email,Amount
,10
,15
zoe@example.com,5
Result
Three rows: the two rows without an email stay separate rows, unless you turn off “Keep rows with an empty key apart”.

Common uses

  • Totals per customer, supplier or product from an order or invoice export, without a pivot table.
  • One row per email address before an import into a mailing tool, with all tags or notes kept in one cell.
  • Stock counts from several warehouses or sheets combined per item code.
  • Merging the lines of the same invoice number into one line with its total.
  • Rerunning the same consolidation on every month’s export with the settings remembered.

How each rule works

  • Sum and Average add the numbers of the group in decimal arithmetic, then show 15 significant digits, as spreadsheets keep them. Numbers written as text (1,234.50, (250), 12%) count; cells that are not numbers are left out and counted in a note.
  • Smallest and Largest keep that cell as it was written.
  • Count values counts the filled cells of the group; Count different values counts the different ones (with the clean-ups chosen for keys).
  • Join different values writes each value once, in the order of the rows; Join all values keeps repeats. Empty cells are skipped.
  • First value and Last value take the first or last filled cell of the group; Earliest date and Latest date compare dates (Excel dates, or dates written as text such as 2026-03-15, 15 Mar 2026 or 15/03/2026, with the day and month in the order your country uses).
  • The combined rows keep the order in which each key first appears, or are sorted by key.

Similar but not identical keys

This tool combines rows whose keys are equal after the clean-ups: “Sharma Traders” and “SHARMA TRADERS” are one key, but “Sharma Traders Pvt Ltd” is another. To find keys that are only similar, run Fuzzy Match on the key column first, correct the spellings, then combine here. To delete repeated rows without combining their values, use Remove Duplicate Rows.

Limitations

  • Files up to 100 MB of CSV text or 50 MB of workbook, and up to 6 million cells.
  • Joined text is cut at about 32,000 characters per cell (Excel holds at most 32,767); the cut is marked with “…”.
  • Excel output keeps numbers and dates as numbers and dates; formulas in a workbook are read as their saved values.
  • Keys must match after the clean-ups chosen; spelling variants need correcting first (see Fuzzy Match).

Frequently asked questions

What do I get without a pass?

Without a pass, Combine Duplicate Rows (Sum, Average and Join Values per Key) shows the row and group counts, the largest groups and the first combined rows (up to 10; a single row with its values hidden). Until you unlock it, the result can’t be downloaded or copied. A Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

How do I combine duplicate rows and add up their values?

Open the file, tick the column that identifies a record (for example Customer or SKU) as the key, and leave the number columns on Sum. Every key then gets one row with the totals, and a Rows combined column with the number of rows in it.

Can I keep all the different text values of the duplicates?

Yes. Choose Join different values for that column: each value is written once, in the order of the rows, separated by a comma and a space (or the separator you pick, such as a semicolon, a vertical bar or a line break).

Why is 0.1 + 0.2 exactly 0.3 here?

Sums are worked out in decimal arithmetic, not in binary floating point, so amounts add up the way you would add them on paper.

Will next month’s file be combined the same way?

Yes. The settings are remembered in this browser by column name and applied when you open a file with the same column names. You can also download them as a small settings file and load it on another computer.

Which row numbers does the report give?

The rows as a spreadsheet numbers them in the file you opened (the header is row 1 when there is one), so you can find every source row of a combined row.

Is my file uploaded?

No. It is read and combined in your browser, in a background thread, and never sent anywhere.
