About the Job Application Tracker

Keep your whole job search in one place, in your browser. Add each application — paste the job advert and the company, role, location, salary and last day to apply are filled in — and move it from Wishlist through Applied, Screening and Interviewing to Offer and Accepted on a drag-and-drop board. Open it to plan interview rounds and add them to your calendar, keep the recruiter and other contacts, set follow-ups, and pick a ready message for each stage: a follow-up after applying, a thank-you after an interview, a reply to an offer.

Reminders say what is due: follow-ups, interviews, thank-yous, deadlines, and applications that have had no answer for too long. The calendar shows every date of the month, and the stats show your response rate, the stages reached, which sources work best and how long employers take to answer.

Everything stays in this browser on this device: lock it with a passcode, keep an encrypted backup, and move your own data in and out as CSV or JSON files at any time. With a Pro pass you keep as many applications as you need and unlock the full stats with their PDF, CSV and printing, the calendar files and the ready messages; without one, the free preview keeps up to 15 applications and shows the first rows of the stats and the first words of each message.

How to use it

  1. Press Add application and paste the job advert: the company, role, location, salary and last day to apply are filled in. Check them, choose the stage and save. Many at once: import a spreadsheet saved as CSV, or the job applications file of a LinkedIn data download, under Data & backup.
  2. On the Board, drag a card to the next stage, or use its arrows, when the employer answers. Open a card to add interview rounds, follow-ups and contacts.
  3. Look at the Reminders above the board each day: mark follow-ups done, thank the interviewer the day after a round, and mark long silences as No response.
  4. On an application, pick the message for its stage and fill in the parts in [square brackets]. Copying it or opening it in your mail app unlocks with a Pro pass; without one, the free preview shows its first words.
  5. Read the Stats for any period. With a Pro pass, download them as PDF or CSV, print them, and download the calendar file of your interviews and follow-ups; without one, the stats show every count and rate and the first rows as a free preview.
  6. Under Data & backup, set a passcode and keep an encrypted backup: the register lives only in this browser.

Dear Kavya,

I applied for the Senior Data Analyst role at Acme Retail on 5 October and wanted to follow up. I am still very interested in the role, and I believe my experience in [your main skills] fits what the team needs.

Each stage has its own messages: a referral request, the follow-up, a thank-you after each round, a check-in on a decision, and replies to an offer.

Common uses

  • Applying to many jobs at once without losing track of who answered.
  • Remembering to follow up a week after applying, and to thank interviewers the next day.
  • Seeing which job sites and referrals actually lead to interviews.
  • Keeping a dated record of every application and interview, printed as a report when someone asks for one.

What the stats measure

  • Applications sent: the applications whose application date falls in the period (wishlist entries are not counted).
  • Answer: any reply after you applied: a move past Applied, a rejection, or an interview round. No response is not an answer.
  • Response rate = answers ÷ applications sent. Interview rate = applications that reached an interview (a round, or the Interviewing stage or later) ÷ applications sent. Offer rate = applications that reached an offer ÷ applications sent.
  • Stages reached: how many applications got at least that far, also those rejected later; from the stage before divides that number by the stage before it.
  • Time to an answer: the days from the application to the first answer, as the median (the middle value) and the average.
  • Sources: the same counts for each place you found jobs, to see which work best for you.

Reminders and the calendar

  • Follow-ups: an application you send gets a follow-up after the days you choose (7 by default). The employer’s first answer closes it, and closing the application closes them all.
  • No answer: when an application has had no answer for that long and no follow-up is planned, the reminders suggest one; after 21 days (your choice) they suggest marking it No response.
  • Thank-you: the day after each interview round, a reminder to thank the interviewer, with the message ready.
  • Calendar file: an iCalendar file (.ics) that Google Calendar, Apple Calendar and Outlook import, with a reminder before each interview (1 hour by default). Its events keep their IDs, so importing it again updates them instead of adding copies.

Salaries as you write them

Type a salary the way the advert or the recruiter says it: 12–15 LPA, ₹12,00,000 – ₹15,00,000, 8.5 lakh, 1.2 Cr, ₹40,000 a month, $120k–$140k, €55,000 a year or $45/hr. One lakh is 1,00,000 (100,000) and one crore is 1,00,00,000 (10 million); LPA means lakhs per annum. Without a stated period, an amount the size of a month’s pay is read as monthly. The form shows how it read each salary, so you can check it.

Importing your applications

Under Data & backup, choose Applications and a CSV file whose first row names the columns: Company (needed), Role, Status, Applied on, Source, Location, Salary and more; download the template to see them all. The column names of other trackers and spreadsheets are recognised too (Company Name, Job Title, Date Applied, Stage, Job Link…), and so is the job applications file of a LinkedIn data download.

Dates are read day first or month first, as you choose; when a file can only be one of them (31/10 or 10/31), it is read that way. Statuses such as Rejected, No response, Phone screen or Offer received are matched to the board’s stages. Rows with a problem are listed with their line number and left out, and an application already in the register is skipped.

Your data

  • Where it is: in this browser on this device (IndexedDB). It is not uploaded, so MySmartCoPilot has no copy and cannot read it.
  • Passcode: with a passcode set, every record is stored encrypted with AES-256-GCM, the key made from your passcode with PBKDF2-SHA-256 and 600,000 rounds. A passcode cannot be reset: keep a backup.
  • Backups and exports: an encrypted backup file with the whole register, and CSV and JSON files of your applications, rounds and follow-ups. They are your own data and always download, also without a pass.
  • Cover letters: Write a cover letter on an application opens the Cover Letter & Recruiter Email Generator with its job advert, company and role, passed inside this browser tab and never in the web address.

Limitations

  • One browser on one device: the register is never added to a MySmartCoPilot account and does not sync. To use it on another device, restore an encrypted backup there.
  • It does not apply for you, read your e-mail or watch job sites: you add each application yourself, from the advert or from a CSV file.
  • Up to 2,000 applications, each with up to 20 interview rounds, 30 follow-ups and 10 contacts.
  • Clearing this browser’s site data deletes the register: keep encrypted backups.
  • The ready messages are in English, with gaps in [square brackets] for what only you can say.
  • The first PDF needs a connection once, to load the PDF engine.

Privacy

On this device; its files download once

Everything happens in your browser. Applications, contacts, notes, interview rounds and follow-ups are kept in this browser’s IndexedDB on this device — encrypted when you set a passcode — and are never uploaded. Backups and exports are files you download yourself.

Frequently asked questions

What do I get without a pass?

Without a pass, Job Application Tracker shows a register of up to 15 applications you add, every count and rate of the stats with the first rows of each table, and the first words of each message. Until you unlock it, the result can’t be downloaded, copied, printed or opened in another app. A Pro, Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

Is my job search uploaded anywhere?

No. The register, its contacts, notes and job adverts are stored in this browser on this device and never sent to MySmartCoPilot or anyone else. Set a passcode to store them encrypted, and download encrypted backups to keep them safe.

How is the response rate worked out?

It is the number of applications that got any answer (a move past Applied, a rejection or an interview round) divided by the applications you sent in the period. Applications marked No response and those still waiting count as sent without an answer.

What does the Pro pass unlock?

As many applications as you need (the free preview keeps up to 15 you add), the full stats with their PDF, CSV and printing, the calendar files, and copying the ready messages or opening them in your mail app. Your applications, imports, exports of your own data and encrypted backups work without a pass.

Can I bring in my spreadsheet or my LinkedIn applications?

Yes. Save the spreadsheet as CSV and import it under Data & backup: the usual column names (Company, Job Title, Date Applied, Status, Salary…) are recognised. The job applications file of a LinkedIn data download imports the same way, with its month-first dates read correctly.

When should I follow up after applying?

About a week after you apply, if you have heard nothing, and once more a week or two later is a common rule. The tracker plans the first follow-up after the days you choose (7 by default), reminds you when it is due and has the message ready.

What if I forget the passcode?

Nobody can open the register without it, because the passcode never leaves your device. Delete the locked copy and restore your latest encrypted backup with its own passphrase.
