About the Label Sheet Maker (A4/Avery and thermal labels)

Design one label for a whole sheet of copies — or one label per row of a spreadsheet. Choose a US Letter sheet (Avery 5160 and other common Avery layouts), an A4 sheet (21, 24, 65 and the other usual sizes per sheet), a thermal label roll (50 × 25 mm, 4 × 6 in and more) or measure your own layout. Put up to six lines of text on it, with {Column} placeholders filled from each row of a CSV or Excel file, an optional logo and an EAN-13, UPC-A, EAN-8, Code 128 or QR code.

One label per row, a fixed number of copies, or the copies from a column of the sheet; numbered series for roll numbers and tickets; a start position for a part-used sheet; and a test page that shows exactly where every label prints, with offsets to correct your printer. In the free preview the sheets show as page images marked “MySmartCoPilot preview · not for use”, with every barcode made unscannable; a Premium pass unlocks the print-ready PDF. Your rows never leave this browser.

    How to use it

    1. Pick the label stock: the sheet or roll size printed on your pack. Not listed? Choose My own layout and type the label size, the margins and the pitch (from one label’s edge to the next one’s).
    2. Choose where the labels come from: rows of a spreadsheet (open a CSV or Excel file, or paste rows copied from it), numbered labels (1, 2, 3 … with a prefix and zero padding) or one label repeated.
    3. Write the lines of the label. Press a column’s name to put {Column} into the line you are editing, or start from a ready-made design: address, price tag with a barcode, stock label, QR label, lab sample, roll number or return address.
    4. Add a barcode if you need one, check the warnings (codes that cannot be made, text that does not fit, barcodes smaller than retail scanners need) and look through the pages of the preview.
    5. Check the alignment first: the test page, printed on plain paper and held against a sheet of labels, shows any shift, and the offsets correct it. Without a pass the sheets stay a free preview; with a Premium pass, Download PDF and print it at Actual size (100%).

    Examples

Price tags for a shop, from a spreadsheet
    Input
    Columns Product, Price, Barcode, Copies · stock A4 · 24 labels · EAN-13 from {Barcode}
    Result
One tag per copy: the product, the price and the barcode; a 12-digit number gets its check digit added, a wrong check digit is listed with its row
    Return-address labels on Avery 5160
    Input
One label repeated · 30 labels · three lines
    Result
30 labels on one US Letter sheet, 2⅝ × 1 in each, placed where Avery’s template puts them
Roll numbers for an exam hall
    Input
    Numbered labels 1 to 60, “Roll No.” above {n} · A4 · 65 labels
    Result
60 labels on one sheet; with “Start at label 6” the first five spaces of a used sheet stay empty
A barcode that is too small
    Input
    EAN-13 on a 38 × 25 mm thermal label
    Result
A warning: GS1 asks for bars at least 0.264 mm wide and, at that width, 18.28 mm tall for checkout scanners

    Common uses

    • Shops printing shelf and price tags with barcodes for their own items.
    • Online sellers printing SKU labels for stock bins and products on a thermal printer.
    • Offices and societies printing address labels for letters and parcels from a member list.
    • Laboratories and clinics labelling sample tubes with a sample number and a Code 128 barcode, without patient names.
    • Schools printing roll-number labels for desks, answer sheets and notebooks.

Where the sheet sizes come from

The US Letter layouts follow Avery’s own template files (for example Avery 5160): where the first label starts, the label size, the distance to the next label and the corner radius. The A4 layouts use the measurements a UK label maker publishes for its A4 label templates. Sheets of the same size from different brands can differ slightly, and every printer shifts its print a little, so print the test page on plain paper first, hold it against a sheet of labels in front of a light and correct the offsets.

    Barcodes for products

EAN-13 (and UPC-A in the US and Canada) is the barcode scanned at checkouts. The GS1 General Specifications ask, for retail point of sale, for bars at least 0.264 mm wide (0.330 mm at the nominal size, at most 0.660 mm) and, at the nominal size, 22.85 mm tall — shorter bars may not scan on scanners that read from any angle. The tool sizes the barcode to the room on the label and warns when it is smaller than that.

    • Type 12 digits and the check digit is added; type 13 and it is checked.
    • Product numbers (GTINs) for goods sold through other shops come from GS1. GS1 keeps the prefixes 20 to 29 for restricted-circulation numbers, whose use each country’s GS1 office defines.
    • Code 128 holds letters, digits and keyboard symbols: SKUs, bin locations and sample numbers. QR codes hold links and longer text.

Printing so the labels line up

    • Print the PDF at Actual size or 100%: “Fit to page” shrinks it and moves every label.
    • Feed one sheet at a time and use the paper type the label pack recommends.
    • If every label is off in the same direction, change the offsets (in millimetres: positive moves the print right and down).
    • On a part-used sheet, set Start at label to the first unused position (counted left to right, top to bottom).
    • Thermal printers: set the label size in the printer’s driver to the label size, and pick 203 or 300 dpi under Printer resolution so the barcode bars land on whole printer dots.

    Limitations

    • Up to 10,000 labels and 5,000 spreadsheet rows go into one PDF; split bigger jobs.
    • Text in Latin scripts and Devanagari is embedded in the PDF as text; lines in other scripts are drawn with this device’s fonts as pictures, which print well but cannot be selected.
    • GS1-128 barcodes with application identifiers (batch, expiry) are not made here; use the barcode generator for those and for single barcodes.
    • The tool checks the barcode’s digits and size; it cannot check that a product number was really issued to you.

    Frequently asked questions

What do I get without a pass?

Without a pass, Label Sheet Maker (A4/Avery and thermal labels) shows every sheet as images marked “MySmartCoPilot preview · not for use”, with each barcode and QR code made unscannable. Until you unlock it, the result can’t be downloaded. A Premium pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

My labels print a little too high or to one side. What do I change?

Print the test page on plain paper, hold it against a sheet of labels in front of a window or lamp and see how far the outlines are off. Type that distance in Offset (millimetres; right and down are positive), and print the test page again. Also check that the print dialog uses Actual size (100%), not “Fit to page”.

    Which layout matches my labels?

Compare the size of one label and the number of labels per sheet printed on the pack with the names in Label stock. If none matches, choose My own layout: measure the label, the top and left margins to the first label and the pitch (from the left edge of one label to the left edge of the next) with a ruler.

How do I print several copies of some rows?

Add a column such as Copies to your sheet and choose it under Copies from a column: a row with 3 prints three labels, 0 skips the row. Without such a column every row gets the number of copies you choose.

Why does my EAN-13 show an error?

An EAN-13 has 13 digits, the last being a check digit worked out from the others. Type 12 digits and the tool adds it; type 13 and it is checked — a mismatch usually means a typing mistake, so check the number on the pack. The rows with problems are listed above the preview.

Can I save my label design?

Yes. Save design keeps it in this browser under a name; Design file downloads it as a small JSON file you can open on another device. Saved designs are your own and always download.
