About the Deferred Revenue & Revenue Recognition Schedule

Enter your contracts and invoices — or import a subscriptions export from Stripe, Razorpay or your own sheet through a column-mapping step — and get a month-by-month revenue schedule the way IFRS 15 and FASB ASC Topic 606 work: revenue is recognised as each promise to the customer is delivered, not when it is billed.

    • Over time: subscriptions and support are recognised ratably, by days (each day of the term earns the same) or by months (equal monthly amounts).
    • At a point in time: set-up fees or goods are recognised in the month they are delivered.
    • Bundles: the price is allocated to each performance obligation by its relative stand-alone selling price.
    • Changes: upgrades, downgrades, refunds and cancellations apply prospectively, from their date.

You get revenue recognised and deferred revenue (the contract liability) by month and by customer, unbilled revenue (the contract asset) where you bill in arrears, a waterfall of revenue still to recognise, a deferred-revenue roll-forward (opening + billings − recognised = closing) and the month-end journal entries, with Excel and PDF working papers.

The free preview shows the schedule of up to 5 contracts with its first months; a Premium pass unlocks every contract and month, the waterfall, the roll-forward, the journals and the Excel and PDF working papers. Everything is worked out in your browser; your contracts never leave it.

    How to use it

    1. Choose the currency. Press Add a contract and enter the customer, the start and end dates (the last day of service), the contract price and how it is billed — one invoice or instalments, in advance or in arrears — and whether to recognise it by days or by months.
    2. For a bundle, add each performance obligation with its stand-alone selling price and say whether it is delivered over the term or at a point in time (with its delivery date).
    3. Add upgrades, downgrades, refunds or a cancellation with the date they take effect.
    4. Or press Import CSV or Excel, choose a subscriptions export and check which column holds the customer, the dates and the amount, and whether the amount is the price of one billing period or of the whole contract.
    5. Read the schedule by month or by customer and choose the month to report at; the roll-forward, the waterfall, the journals and the downloads unlock with a Premium pass.
    6. Your contracts stay in this browser; Save contracts file keeps a copy you can open on another device (your own data: it downloads without a pass).

    Examples

A yearly subscription of 12,000 paid up front on 1 January, recognised by days
    Result
January: revenue 1,019.18 (31 of 365 days); deferred revenue at the end of January 10,980.82
Journal: Dr receivables 12,000.00 · Cr revenue 1,019.18 · Cr deferred revenue 10,980.82

Every month is worked out in whole cents, and the last month takes the rounding, so the year adds up to exactly 12,000.00.

A 3,600 plan billed 300 a month from 1 February, upgraded by 1,200 from 1 August, by months
    Result
February to July: 300 a month · August to January: 500 a month (the 1,800 still to recognise + 1,200, over 6 months)
The later invoices rise to 500: billed and recognised 4,800 in total
    A 30,000 bundle: licence (SSP 24,000), implementation (6,000, delivered 15 May), support (4,000)
    Result
Allocated: licence 21,176.47 · implementation 5,294.12 (all in May) · support 3,529.41 (over the term)

Each obligation gets 30,000 × its SSP ÷ 34,000, rounded to the cent so the three add up to the price.

The yearly subscription cancelled from 1 July with a 3,000 refund
    Result
January to June: 5,950.68 · July: 3,049.32 (billed and not refunded, now earned) · total revenue 9,000.00

The five steps behind the schedule

Both standards follow the same five steps (IFRS Foundation): identify the contract with the customer; identify the performance obligations — the distinct goods or services promised; determine the transaction price; allocate it to the obligations on the basis of their relative stand-alone selling prices; and recognise revenue when, or as, each obligation is satisfied — over time, or at a point in time. You make the judgements of steps 1 to 3 (what the contract and its distinct promises are, and the price including discounts); the schedule does the arithmetic of steps 4 and 5.

    By days or by months

By days, every day of the term earns the same amount, so a 31-day month earns more than February — the most precise pattern for a service delivered evenly. By months, each service month from the start month earns an equal share, the convention many subscription businesses use; a term starting mid-month still gets its months in full, starting from that month. Pick one per contract and keep it consistent.

Deferred revenue, unbilled revenue and the roll-forward

For each contract, what has been billed minus what has been recognised is its net position: a contract liability (deferred revenue) when more has been billed, a contract asset (unbilled revenue) when more has been delivered than billed, as with billing in arrears. Positions are kept per contract, so one customer’s prepayment never hides another’s unbilled work. The roll-forward checks itself every month: opening deferred revenue + billings − revenue recognised + the change in unbilled revenue = closing deferred revenue.

    Upgrades, downgrades, refunds and cancellations

Changes are prospective — the treatment a modification gets when the remaining services are distinct from those already delivered (IFRS 15 paragraph 21(a), ASC 606-10-25-13(a)). From the change date, what is still to be recognised plus the price change (an upgrade) or minus it (a downgrade or a refund) is spread over the rest of the term; the months before stay as they were, and later instalments change by the same amount. A refund or downgrade larger than what is still to be recognised reverses the difference at once, on its date. A cancellation ends the service: later invoices stop, any service delivered but not yet billed is billed, and what was billed and not refunded is recognised at once because nothing more is owed. A change that should be accounted for as a separate contract, or with a cumulative catch-up, needs your own adjustment.

    The month-end journal

Each month’s entry is one compound journal that always balances: Dr receivables with the billings, Cr revenue with what was recognised, Cr deferred revenue with its increase (Dr when it falls) and Dr unbilled revenue with its increase (Cr when it falls). Post it as it is, or split it by customer from the schedule.

    Limitations

    • This is a working paper, not an audit opinion; have an accountant review it before you rely on it.
    • It does not estimate variable consideration (usage, bonuses, penalties), financing components, contract costs or principal-versus-agent questions: enter the transaction price you have determined.
    • One currency per schedule: convert contracts in other currencies at your own rate before you enter them.
    • Imports read one contract per row; a subscription that was upgraded appears in an export as its current plan, so add its changes yourself.

    Frequently asked questions

What do I get without a pass?

Without a pass, Deferred Revenue & Revenue Recognition Schedule shows the schedule of up to 5 contracts with its first months in full; the later months, totals, roll-forward, waterfall and journals are hidden. Until you unlock it, the result can’t be downloaded or copied. A Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

    What is deferred revenue?

Money billed (or received) for goods or services you have not delivered yet. It is a liability — a contract liability under IFRS 15 and ASC 606 — and becomes revenue as you deliver. A year’s subscription of 12,000 paid in January is revenue of about 1,000 a month and deferred revenue of 10,980.82 at the end of January.

How is a bundle’s price allocated?

By relative stand-alone selling price: each performance obligation gets the contract price × its stand-alone selling price ÷ the sum of all of them. A 30,000 bundle of items that sell alone for 24,000, 6,000 and 4,000 gives 21,176.47, 5,294.12 and 3,529.41.

Can I import Stripe or Razorpay subscriptions?

Yes: export the subscriptions as CSV, choose the file under Import, and check the columns the tool matched — customer, start, end, amount and interval. Say whether the amount is per billing period and whether the end date is the day the next period starts, as a subscription export gives it.

    Where are my contracts kept?

In this browser on this device; they are never uploaded. Save a contracts file to keep a copy or move them to another device.

    Do I need a pass?

To see every contract and month and to download the working papers, yes: a Premium pass unlocks every Premium tool. Without a pass you see a free preview: the schedule of up to 5 contracts with its first months, while the later months, the totals, the roll-forward, the waterfall and the journals stay locked.
