About the Resignation Letter Generator
Choose a tone — formal, short or grateful — fill in your role, who you are writing to and your notice period, and the tool writes a complete resignation letter or email. The last working day is worked out for you: notice in calendar days, working days (weekly days off and holidays skipped), weeks or months, counted from the day you resign or from the next day. You can also ask to set off leave against the notice, or to be relieved early with a notice buy-out, and the letter states the dates.
Add a handover list and a contact line, then copy the email text, open it in your email app, or download a PDF or Word file. Your employment contract, or the standing orders at your workplace, decide the notice period and how it is counted — check them before you send.
How to use it
- Choose Letter or Email, and the tone.
- Enter your name, job title and department, and the person you are writing to.
- Enter the date and your notice period — a number and a unit — and whether it counts from that day or the next. For working days, choose your weekly days off and list any holidays.
- Optionally ask to set off leave or to be relieved early, and add a reason, the work to hand over and your contact details.
- Check the preview and the dates, then Copy email, Open in email app, or download a PDF or Word file.
Examples
Notice runs 2 September – 1 October 2026 · last working day 1 October 2026
Last working day 30 September 2026 (the holiday moves it by a day)
Notice ends 31 October 2026 · the letter offers to buy out the remaining 30 days
Counted from 16 August → last working day 15 September 2026
How the last working day is worked out
- Calendar days: the notice starts on the first day (the day you resign, or the next day) and the last day is that day + the number of days − 1. Thirty days from 2 September end on 1 October.
- Working days: each day that is not a weekly day off or a listed holiday counts, until the number is reached.
- Weeks: seven days per week, counted the same way as calendar days.
- Months: to the day before the same date the given number of months later — 16 August to 15 September — or to the end of a shorter month (31 January + 1 month ends on 28 or 29 February).
- Leave set-off: the last working day moves earlier by the leave days you ask to set off (working days for a working-day notice, otherwise calendar days).
- Early release: the letter asks to be relieved on your date and states how many days of notice are left to buy out.
What decides your notice period
Your employment contract or appointment letter usually sets the notice period, whether it is in calendar or working days, and whether leave can be adjusted or the notice bought out. In industrial establishments with 300 or more workers, standing orders must also cover “termination of employment, and the notice thereof to be given by employer and workers” (Industrial Relations Code, 2020, sections 28 and 30, and First Schedule, item 8). Read those terms first — this tool works out dates from what you enter; it does not know your employer’s rules.
When you leave, the wages due to you have a deadline too: under section 17(2) of the Code on Wages, 2019, wages payable to an employee who has resigned are to be paid within two working days.
Which tone to choose
- Formal — complete and neutral: the notice, your last day, a handover commitment, a request for the exit formalities and a thank-you. A safe choice for any workplace or HR department.
- Short — three or four sentences with the facts. Good as an email when you have already spoken to your manager.
- Grateful — warmer, thanking your manager and team, for a role you are sorry to leave.
Giving a reason is optional; “personal reasons” is enough if you would rather not say more.
Before you send it
Tell your manager in person first if you can, then send the letter to them and to HR, and keep a copy. Ask for written acknowledgement of the date you resigned and the last working day. Return company property, finish the handover, and ask for a relieving letter and experience certificate when you leave — the experience letter generator shows what they contain.
Limitations
- The dates follow what you enter. Your employer may count notice differently (for example from the day it accepts the resignation); the contract or policy decides.
- Public holidays are not looked up — list the ones that apply to you.
- A generic template, not legal advice. Check your contract before you resign, especially for notice pay, bonds or recoveries.
- “Open in email app” passes the text to your own email program; very long letters may be cut short by some apps, so use Copy email instead.
- The PDF draws Latin-script text; for other scripts, download the Word file or use Print / Save as PDF.

Frequently asked questions
How do I work out my last working day?
Count the notice period from its first day: with 30 days’ notice starting on 2 September, the last day is 1 October. Choose whether the notice starts on the day you resign or the next day, and the tool does the counting — including working days, weeks and months.
Does the notice period start on the day I resign?
It depends on your contract and your employer’s practice: some count from the day after the resignation is given, others count the day itself. The tool lets you choose — check with HR if you are not sure.
Can I adjust leave against my notice period?
Only if your employer allows it. The letter can ask for it: choose Set off leave, enter the number of days, and the letter states the earlier last working day.
What is a notice period buy-out?
Paying (or having your employer recover) the salary for the part of the notice you do not serve, so you can leave earlier. Whether it is allowed, and how it is calculated, is set by your contract or company policy.
Should I give a reason for resigning?
You do not have to. A short, neutral reason — a new opportunity, higher studies, relocation or personal reasons — is common; choose “Don’t give a reason” to leave it out.
When will I get my final pay?
In India, wages payable to an employee who has resigned are to be paid within two working days (Code on Wages, 2019, s.17(2)). Gratuity, if you qualify, is due within 30 days of becoming payable; other dues follow your employer’s policy.
