About the Employee Handbook & HR Policy Generator (Leave, Remote Work)

Answer one questionnaire — the country and state, your size, working days and hours, probation and notice, the leave you give, public holidays, attendance, remote and hybrid work, overtime, expenses and travel, IT and data rules, harassment complaints, grievances, discipline and leaving — and the generator assembles a complete employee handbook: a cover, a contents list, eighteen policies in plain language with a short "In short" note under each, a one-page summary for new joiners and an acknowledgement form for each employee to sign.

For India, the United Kingdom, the United States and the United Arab Emirates, the checks compare your choices with the statutory minimums of that country — leave days, maternity leave, working hours, overtime rates, notice and probation limits, the final settlement — and link the official source. Where you have not decided something, the handbook says [decide: …] instead of inventing a number. Without a pass you see the whole handbook as page images marked "MySmartCoPilot preview · not for use", with the start of the wording readable; a Premium pass downloads it as Word (DOCX), PDF, Markdown or text, prints it, and adds the policy pack (each policy as its own Word file) and a question set for the Quiz Maker. It is a template, not legal advice.

    How to use it

    1. Choose the country of employment and, if you like, the state, nation or emirate; enter the company, its size and the People team contact. Press Example to see a complete handbook for a made-up company.
    2. Under Policies to include, untick any policy you do not want.
    3. Answer the sections — joining and leaving, hours and overtime, remote work, leave and holidays, expenses, complaints and IT. Anything left empty prints as [decide: …].
    4. Read the Checks: each says which statutory minimum a choice falls below and links the official rule. Fix them or keep your choice knowingly.
    5. With a Premium pass, download the handbook as DOCX or PDF (or Markdown or text), print it, save the policy pack or the question set — or before that, check the free preview page by page.

    Common uses

    • Start-ups and small businesses writing their first handbook before they hire.
    • HR teams turning scattered policies into one consistent, dated handbook with an acknowledgement form.
    • Employers with staff in India, the UK, the US or the UAE checking that their leave, hours and notice rules meet the statutory minimums.
    • Onboarding: the one-page summary and the quiz help new joiners take in the key rules.

What the checks look at, by country

    • India: eight hours a day and six days a week, overtime at twice the rate of wages and annual leave of one day for every twenty days worked (Occupational Safety, Health and Working Conditions Code, 2020, ss.25–27, 32); 26 weeks of maternity benefit (Code on Social Security, 2020, s.60); wages within two working days of leaving (Code on Wages, 2019, s.17(2)); one month’s notice before retrenching a worker with a year’s service and the Grievance Redressal Committee from twenty workers (Industrial Relations Code, 2020, ss.4 and 70); the Internal Committee under the POSH Act from ten employees.
    • United Kingdom: 5.6 weeks of paid holiday (28 days for a five-day week, bank holidays may be included), the 20-minute break and 48-hour average week, statutory minimum notice, 52 weeks of maternity leave and one or two weeks of paternity leave, as GOV.UK sets them out.
    • United States: overtime at time and one-half after 40 hours for non-exempt employees, the Family and Medical Leave Act from 50 employees, the federal anti-discrimination laws from 15, and a reminder that paid sick leave, final pay and at-will rules come from state law.
    • United Arab Emirates: 30 days of annual leave, sick leave of up to 90 days, 60 days of maternity leave and five of parental leave, at most six months of probation, notice of 30 to 90 days, eight hours a day and overtime at basic pay plus 25%, and payment within 14 days of the end of the contract (Federal Decree-Law No. 33 of 2021, as u.ae explains it).

    The documents you get

    • The handbook: cover, contents, the policies you chose (each clause numbered, with an "In short" note), the one-page summary and the acknowledgement form, in Word (.docx) or PDF, or as Markdown or text.
    • The policy pack: every policy as its own Word file, with the summary and the acknowledgement form, in one ZIP — for an intranet or for policies people sign separately.
    • The question set: multiple-choice questions on the key rules (leave days, probation, notice, expenses, who to tell) in Aiken format, which the Quiz Maker and Moodle import.

    What a handbook is not

A handbook explains how a business works; it does not replace each employee’s contract (in India the appointment letter, in the UK the written statement of particulars given on the first day), and in India it does not replace certified standing orders where the Industrial Relations Code requires them (from 300 workers). In the United States, state law decides much of what a handbook can say — paid sick leave, final pay, the at-will statement — so a lawyer in your state should read it.

    Limitations

    • This is a template, not legal advice: have an employment lawyer review your policies before you adopt them.
    • Statutory minimums are checked only for India, the UK, the US and the UAE, at national level. State laws (India’s Shops and Establishments Acts, US state law) and sector rules are flagged as things to check, not checked.
    • The handbook is written in English. The PDF draws Latin-script text; for names in other scripts, download the Word file.
    • Changes you make in the downloaded Word file stay in that file: the tool cannot read it back.

    Frequently asked questions

What do I get without a pass?

Without a pass, Employee Handbook & HR Policy Generator (Leave, Remote Work) shows every page with your details, the first part of the wording readable and the rest hidden, marked “MySmartCoPilot preview · not for use”. Until you unlock it, the result can’t be downloaded, copied, printed or opened in another app. A Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

What should an employee handbook include?

At least how people are employed and leave (probation, notice, final pay), working hours and attendance, leave and public holidays, conduct and conflicts of interest, equal opportunities and harassment, IT and data rules, and how grievances and discipline are handled. The generator covers all of these and lets you leave out what you do not need.

Is the handbook part of the employment contract?

The generated handbook says it is not, unless a section says otherwise, and that the contract and the law come first. That is a common approach, but whether a policy becomes contractual can depend on the country and on how it is worded and used — ask a lawyer if it matters to you.

Does it check the law for my state in India or the US?

It checks the national rules and tells you where state law can add more: India’s Shops and Establishments Act of your State, and US state law on paid sick leave, final pay and at-will employment. Check those for your state before you adopt the handbook.

    Do I need a pass?

To download, copy or print the handbook, the policy pack or the question set, yes: a Premium pass unlocks every Premium tool. Without a pass you see a free preview of your own handbook: every page as an image marked “MySmartCoPilot preview · not for use”, with your details and the first part of the wording readable.

How do employees acknowledge the handbook?

The last page is an acknowledgement form with the handbook’s version: each employee signs and dates it, on paper or by uploading the PDF to an e-signature service. Keep the signed forms with your HR records.
