About the Garment Sample Tracker (proto, fit, size set, PP and TOP samples by style)

Merchandisers send every style through a chain of samples before bulk production — proto, fit, salesman, size set, pre-production (PP), top of production (TOP) and shipment samples — and each one has to be made, couriered, commented on and approved on time, because the time-and-action plan of the order hangs on it.

This tracker keeps that register in your browser: each sample with its style, buyer, season, colour, stage and round, the dates requested, due, sent and answered, the courier and AWB, the status and the buyer’s comments. It works out the days to send, the days for comments and the days in all, flags what is overdue, due within 3 days and awaiting comments, and sums up each stage: samples, approvals, resubmissions and the approval rate. Search and filter the register, add every stage of a new style in one press, import samples from a CSV or Excel file and keep a backup file of your entries.

Without a pass the register is a free preview: the form and the summary work in full, and each view of the register shows its first rows (half of them, up to 10), read only, for 5 views in a tab. The CSV, Excel and PDF files, printing and copying come with a Premium pass.

How to use it

  1. Add a sample: the style, buyer, season and colour, the stage and its round (2 for a resubmission), and the dates as you have them — requested, due to send, sent, comments received.
  2. Add the courier and the AWB or tracking number when it goes, and set the status when the buyer answers: approved, approved with comments, resubmit or rejected, with the comments.
  3. For a new style, fill in the style and press Add every stage for this style: proto to shipment are added, ready for their due dates.
  4. Read the summary and the register: overdue samples come first, then those due soon and those awaiting comments. Search by style, buyer, colour or AWB, and filter by stage or status.
  5. Without a pass the register stays a free preview; with a Premium pass, use CSV, Excel, PDF report, Print or Copy to share it. Save my entries keeps a backup file of your samples, also without a pass.

Examples

A fit sample on its second round
Input
Fit round 1 requested 25 Sep, sent 6 Oct, comments 14 Oct “resubmit”; round 2 sent 28 Oct, no comments yet, today 4 Nov
Result
Round 1: 11 days to send, 8 days for comments, Resubmit. Round 2: Sent, awaiting comments for 7 days
What is late
Input
A PP sample due on 1 Nov and not sent; a size set due on 6 Nov; today 4 Nov
Result
The PP sample is 3 days late and first in the register; the size set is due in 2 days

Common uses

  • Merchandisers following every style’s samples for several buyers at once.
  • Sampling rooms planning which samples to make next and which are late.
  • Merchandising managers checking approval rates and how long buyers take to comment, stage by stage.
  • Feeding the time-and-action plan with the real dates of each stage.

How the figures are worked out

  • Days to send = the date sent − the date requested.
  • Days for comments = the date the comments came back − the date sent.
  • Days in all = the date the comments came back (or today, while the sample is open) − the date requested.
  • A sample is overdue when it is not sent and its due date has passed, and due soon when it is due within the next 3 days. A sent sample without comments is awaiting comments, for today − the date sent.
  • The approval rate of a stage = samples approved (with or without comments) ÷ samples of that stage with an answer.

All dates are calendar days. A sample marked “to send” that has a date sent counts as sent.

The sample stages

  • Proto: the first sample of a design, to check the look, the fabric and the construction.
  • Fit: on the fit model or form, to approve the fit; resubmitted until it is right.
  • Salesman (SMS): samples for the buyer’s sales team, showroom or photo shoot.
  • Size set: the style in every size (or a jump set), to check grading.
  • Pre-production (PP): in bulk fabric and trims, the sample bulk production must match.
  • Top of production (TOP): taken from the first bulk production, to check it matches the PP.
  • Shipment: from the finished order, before or with the shipment.

Buyers name and order their stages differently; use Other for a stage of your own and write what it is in the comments.

Keeping the register safe

The register is kept in this browser on this device, in its own storage (IndexedDB); it does not sync between devices or people. Save my entries downloads a backup file of every sample, and Restore a backup puts it back — here or on another device. Clearing the browser’s site data deletes the register, so keep a backup.

Limitations

  • The register lives in one browser on one device and does not sync; share it with the files, or move it with the backup.
  • Due dates are the ones you enter: the tool does not build the time-and-action plan of the order, it gives each stage’s real dates for it.
  • Courier tracking numbers are kept as text; the tool does not look up a shipment with the courier.
  • Dates are calendar days: weekends and holidays count.
  • Without a pass, each view of the register shows its first rows, read only, for 5 views in a tab; every sample stays in the register and in your backup.

Frequently asked questions

What do I get without a pass?

Without a pass, Garment Sample Tracker (proto, fit, size set, PP and TOP samples by style) shows a summary and the first rows of the result (up to 10; a single row is shown with its results hidden). Until you unlock it, the result can’t be downloaded, copied or printed. A Premium or Ultimate pass, a one-time payment unless you choose automatic renewal, unlocks the full result. The pricing page lists the passes and their prices.

What is the difference between a PP sample and a TOP sample?

The PP (pre-production) sample is made before bulk production, in the bulk fabric and trims, and once approved it is the standard bulk must match. The TOP (top of production) sample is taken from the first garments off the bulk line, to check that production really matches the PP.

How do I record a resubmission?

Set the first sample’s status to Resubmit with the buyer’s comments, then add the same stage again with round 2. Both stay in the register, and the “By style” table of the Excel and PDF files, which gives each style’s stages for the time-and-action plan, uses the latest round.

Can I import my existing sample sheet?

Yes: under Import samples from a spreadsheet, drop a CSV or Excel file whose first row names the columns (Style, Stage, Requested, Due, Sent, Courier, AWB, Status …). Choose whether its dates are day first or month first; the samples are added to the register.

Where is my data kept?

Only in this browser on this device. Nothing is uploaded. Keep a backup with Save my entries, because clearing the browser’s site data deletes the register.

What do I need a pass for?

For the CSV, Excel and PDF files of the register, printing and copying, and to see every row of every view, a Premium pass. Without one, the form and the summary work in full and each view of the register shows its first rows (half of them, up to 10), read only, for 5 views in a tab. Your entries and the backup file of them are always yours.
