About the Vehicle Maintenance Log & Service Reminders (Car, Bike, Scooter)

A private service book for your car, motorcycle, scooter, van or truck, kept in this browser on your own device. Write down every service and repair with its parts, labour, garage and odometer reading, tyres and batteries, insurance, emission tests (the PUC certificate in India, a smog check in the US), inspections (an MOT or a fitness certificate), road tax, permits, tolls, parking and fines, each with a photo of the receipt. Set reminders by date, by odometer reading or both — the next service, an insurance or emission-test renewal, a licence — and add them to your calendar.

From your entries the log works out what each vehicle costs: by type, by month, per kilometre or mile and on average a month, with the history by part (when the oil, the brake pads or the tyres were last changed, and how far ago). Fuel is not logged twice: keep your fill-ups in the Mileage Calculator, which works out the mileage, and import its CSV here so fuel counts in the costs. Back the log up as an encrypted file and lock it with a passcode; with a Pro pass, print a service history for a buyer or a warranty claim. Without a pass the printable history is a free preview of marked page images, and its PDF and the calendar file stay locked; a Pro pass gives the clean PDF, print and calendar file.

    How to use it

    1. Under Vehicles, add each vehicle: its name, make, model, registration, odometer unit and the reading now.
    2. As things happen, use Write in the log: a service (with its parts and labour, or just the amount), a repair, tyres, a battery, a renewal with the date it is valid until, a toll, parking or a fine. Add a photo of the receipt.
    3. Tick Remind me on a renewal, or give the next service in months or distance, and the reminder is set; or add reminders yourself under Reminders. Press Done on a reminder to log the job and move it on.
    4. Import your fuel fill-ups from the Mileage Calculator’s CSV under Vehicles, then open Costs and history for the costs by type and month, per kilometre or mile, and the history by part.
    5. Open the printable history for a buyer or a warranty claim, and add the reminders to your calendar — with a Pro pass, or as a free preview without one. Under Data & backup, download an encrypted backup now and then.

    Examples

    A periodic service
    Input
Engine oil 3.5 L (1,350), oil filter (320), air filter (540), labour (2,440); odometer 23,400 km; next service in 12 months or 10,000 km
    Result
An entry of 4,650 for the service, the three parts in the history by part, and a reminder due in 12 months or at 33,400 km — whichever comes first.
    An insurance renewal
    Input
Comprehensive policy, valid until the same day next year, policy number on the receipt; Remind me ticked
    Result
The policy in “Insurance, tax and certificates”, and a reminder on the day it runs out (overdue in red once it has passed, “soon” 30 days before).
    A reminder by odometer only
    Input
Second service at 9,200 km on a scooter that rode 4,700 km in the last year
    Result
Due at 9,200 km with the distance still to go, and an expected date from the average daily distance, which the calendar file uses.
    Cost per kilometre
    Input
A year with a service (100), insurance (500), tolls (20) and fuel (105), in which the odometer went from 10,000 to 14,000 km
    Result
    Spent 725 over 4,000 km: 0.18 per km in all (725 ÷ 4,000), and 0.05 per km for servicing and fuel only ((100 + 105) ÷ 4,000).

    Common uses

    • Keeping a full service history to show a buyer when you sell the car or bike.
    • Never missing an insurance, emission-test, inspection or road-tax renewal.
    • Knowing what the vehicle really costs per kilometre or mile, and per month.
    • Supporting a warranty claim with dated services, odometer readings and receipts.
    • Looking after the family’s or a small business’s vehicles in one place.

    Reminders by date or odometer

A reminder can be due on a date, at an odometer reading, or both — whichever comes first. It shows as soon 30 days before the date or within 500 km (300 miles) of the reading, and as overdue once either has passed. The odometer now is the highest reading in the log (services, repairs, fuel fill-ups or the reading the vehicle joined with). With a month or more of readings, a reminder at an odometer reading also gets an expected date, from the average daily distance over the last year.

Press Done on a reminder to log the job, and the reminder moves on: a renewal logged with the date the new policy, certificate or tax is valid until (and Remind me ticked) is due again on that date; a repeating reminder falls the same number of months after the day you log it and the same distance after that odometer reading; any other is finished. The calendar file holds each reminder as an event at 09:00 on its day with an alert; importing it again updates the same events.

    What the costs include

    • Servicing and repairs: services, repairs, tyres, batteries, cleaning, accessories and other entries.
    • Insurance, tax and certificates: insurance, emission tests, inspections or fitness certificates, road tax or registration and permits.
    • Tolls, parking and fines.
    • Fuel: the amounts paid in the fill-ups imported from the Mileage Calculator.

The distance of a period runs from the odometer at its start (the last reading before it) to the last reading in it, so the cost per kilometre or mile divides what you spent by how far the vehicle went. The average a month spreads the period’s spending over its length in months.

    Private, and backed up

The log lives in this browser on this device only: it is not uploaded or copied anywhere, so clearing the browser’s site data deletes it. Download an encrypted backup regularly (AES-256, with a passphrase you choose) and keep it safe; restore it on another device or browser. A passcode locks the log on this device, and it locks itself after a while without use. Your own data always downloads — CSV for spreadsheets, a JSON file of the whole log, and the fuel log in the Mileage Calculator’s own format.

    Limitations

    • The log is kept in this browser only: download an encrypted backup to keep a copy, and restore it to use the log on another device.
    • Fuel comes from the Mileage Calculator’s CSV: the fill-ups are logged and the mileage is worked out there.
    • Reminders show on this page and in the calendar file you add; the page does not send notifications by itself.
    • Up to 20 vehicles, 5,000 entries, 5,000 fuel fill-ups and 400 receipt photos (made smaller, up to 1,280 pixels).

    Privacy

On this device; its files download once

Everything stays in this browser on your device (IndexedDB), encrypted with your passcode when you set one; nothing you type or photograph is uploaded. Backups are encrypted on your device with a passphrase you choose.

    Frequently asked questions

What do I get without a pass?

Without a pass, Vehicle Maintenance Log & Service Reminders (Car, Bike, Scooter) shows the whole log on this device, with the printable history as page images marked “MySmartCoPilot preview · not for use”. Until you unlock it, the result can’t be downloaded, printed or shared. A Pro, Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.

How do I keep a record of my car’s services?

Add the car under Vehicles, then after each visit to the garage add a Service or Repair entry: the date, the odometer reading, what was done, the parts and labour (or just the amount) and a photo of the bill. The history by part and the printable history are built from those entries.

Can it remind me when my insurance or PUC runs out?

Yes. When you log the insurance policy or the emission-test certificate, type the date it is valid until and tick Remind me: the reminder shows on the page as soon, then overdue, and — with a Pro pass — goes into a calendar file you add to Google Calendar, Apple Calendar or Outlook.

Do I have to log fuel here?

No. Keep your fill-ups in the Mileage Calculator, which works out the mileage from them, and import its CSV file here: the fuel then counts in the costs and the cost per kilometre or mile. Fill-ups already imported are skipped.

What happens to my data if I clear my browser?

It is deleted with the site’s data, because the log is kept only in this browser. Download an encrypted backup under Data & backup from time to time; the page can remind you to.

Can I use it for more than one vehicle?

Yes, up to 20: each has its own odometer unit, entries, reminders and costs, and the log shows them together or one at a time. A sold vehicle can stay in the log, out of the lists.
