About the UPI Payment Reconciliation (India): Match Payments to Dues
A shop, clinic, tuition class or wholesaler that takes most of its money by UPI still has to answer the same question every evening: who has paid, who has paid part, and who still owes? The bank statement lists credits by UPI reference and the payer’s name; your bills and udhaar (credit) list are by invoice number and customer. This tool puts the two together.
Drop the bank statement (CSV or Excel from internet banking, or the statement PDF) and the transaction or settlement reports of your UPI apps, then the dues — a CSV or Excel export of your billing or khata app, or a list typed in. Payments are matched by the invoice or order number in the payment’s remarks, by the same amount within a date window, and by customer: the mobile number in the payer’s UPI ID, or a name that fits only one customer, with the oldest dues cleared first as in a khata. You get every due as paid, part-paid or unpaid with its balance, the payments not matched, duplicates across files, refunds and app settlements kept apart, totals by day and month, and a WhatsApp reminder with a UPI payment link and a QR code for each balance.
Without a pass the result is a free preview: your whole file is matched and every count shows, with the first rows of each table; the Excel workbook, Copy summary and the reminders unlock with a Premium pass. Nothing is uploaded.
How to use it
- Drop your bank statement into step 1: CSV or Excel from internet banking works best, and a statement PDF with text works too (a protected PDF asks for its password, used only on this device). Add the transaction or settlement reports of your UPI apps as CSV or Excel.
- Drop your dues into step 2: invoices, orders or the udhaar list from your billing or khata app, as CSV or Excel. Or type them one per line (number, customer, amount, date, mobile); Blank list to fill in gives a CSV with the right columns.
- Check Columns used under each file: the date, amount, reference, payer, UPI ID and status are found from the headings. Correct any that are wrong; your choice is remembered for the next file with the same headings.
- Open Matching and reminders to set how many days after a due a payment may come, the amount difference allowed, and your UPI ID and shop name for the reminders.
- Read the counts and the tables: dues, payments not matched, duplicates, refunds and settlements, and the totals by day and month. Download Excel, Copy summary and the WhatsApp and QR reminders unlock with a Premium pass; the free preview shows every count and the first rows of each table.

Common uses
- A kirana, medical or hardware store matching the day’s UPI credits with the udhaar list.
- A tuition class, gym or housing society checking which members paid their fees.
- A wholesaler or distributor matching retailers’ UPI payments with invoices.
- Sending every customer with a balance a WhatsApp reminder with a UPI link for the exact amount.
- Daily and monthly UPI collections for the cash book and the accountant.
How payments are matched
- Invoice or order number. When a payment’s remarks or reference carry a due’s number — “INV-1004”, “INV1004” or “order 1007” — it goes to that due first. A payment that names a due already paid in full is not matched again: it is listed with a note, because it may be a second payment for the same bill.
- Same amount. A payment of the amount still due, made from the day before the due’s date up to the days you allow after it, is matched next. When two payments fit, the one whose payer fits the customer wins, then the nearer date. An amount difference you allow (for example ₹1 for rounding) still counts as the same amount.
- Same customer. What is left of a customer’s payments clears that customer’s oldest dues first, as in a khata: one payment can pay several bills, or part of one. The customer is recognised by the whole mobile number in the payer’s UPI ID or remarks, or by a name word that fits only one customer — two customers called Rahul never share a payment by guess. You can switch this step off.
The same UPI reference in two files (a bank statement and an app report of the same day) is counted once. Refunds and reversals are kept apart and taken off the day’s collections; payouts from UPI apps to your account are kept apart from customers’ payments.
The files
- Bank statements: the date, the narration, the reference (cheque or UTR number) and the debit and credit columns, or one amount with Dr and Cr. Account details above the table are skipped. With use only UPI credits on, cash deposits, cheques and NEFT credits are counted apart and not matched.
- UPI app reports: the date, amount, status, UTR or reference, payer name and UPI ID. Failed and pending payments are left out.
- Dues: the number, date, customer, mobile and amount, and what was already paid, if your list has it.
- Dates are read day first (5/10 is 5 October) unless a column shows the month first; amounts can carry ₹, Rs, commas, Cr and Dr, or brackets. Up to 50,000 rows a file or sheet are read. Each file’s columns can be corrected under Columns used.
Reminders
For every balance, a message is filled in from your template with the customer’s name, the amount, the bill and its date, and your UPI ID. WhatsApp opens a chat with the customer’s number and the message typed in; nothing is sent until you press send there. With your UPI ID filled in, the message carries a UPI payment link for the exact balance (upi://pay, which UPI apps on a phone open), and QR code shows the same payment as a code to scan at the counter. A chat app may not make a upi:// link tappable, so the message also names your UPI ID. Check your UPI ID before you send: payments go to the ID you enter.
When a customer says the money left the account
Ask for the payment’s UPI reference number (12 digits, also called UTR or RRN) and look for it in your statement. If it is not there, the payment probably failed after the customer’s account was debited. Under the RBI’s turnaround-time rules, a payment to a merchant that debited the customer without the merchant getting the confirmation is reversed to the customer within five days of the payment (the day after, for a transfer to a person), and ₹100 a day of compensation is due for any delay beyond that, credited to the customer without a complaint being needed.
Limitations
- Matching follows rules on what your files contain: a payment with no bill number, made from a relative’s UPI ID, or of an amount several dues share may match the wrong due or none. Check the part-paid dues and the payments not matched before you send reminders.
- An app that pays out in one batch shows only the batch in the bank statement; add the app’s transaction report to match each customer’s payment.
- A scanned PDF has no text to read: download the statement as CSV, Excel or a text PDF.
- An aid for your own books, not financial or accounting advice.
Privacy
Your statements, reports and dues are read and matched in this browser and never uploaded. Your UPI ID, shop name, reminder message and the columns you chose for each kind of file are kept in this browser’s storage for the next time; the files themselves are not kept.
Frequently asked questions
What do I get without a pass?
Without a pass, UPI Payment Reconciliation (India): Match Payments to Dues shows every count of paid, part-paid and unpaid dues and of matched payments, with the first rows of each table (up to 10). Until you unlock it, the result can’t be downloaded, copied or opened in another app. A Premium or Ultimate pass, a one-time payment that never renews, unlocks the full result. The pricing page lists the passes and their prices.
Which files can I use?
Bank statements as CSV, Excel or PDF (with text, not scanned), and the transaction or settlement reports of UPI apps as CSV or Excel. Dues can be any CSV or Excel list with an amount column, or typed in. Columns are found from their headings, and you can correct them.
How does it know which payment is for which bill?
First by the bill or order number in the payment’s remarks, then by the same amount within the days you allow, then by the customer: the mobile number in the UPI ID, or a name that fits only one customer, clearing the oldest dues first. The table says how each due was matched.
What if a customer paid twice for the same bill?
The second payment is not matched to a bill that is already paid. It is listed under payments not matched, with a note that it names a bill already paid, so you can refund it or keep it as an advance.
Are the reminders sent automatically?
No. WhatsApp opens with the customer’s number and the message typed in, and you press send. For a customer without a valid mobile number in your list the WhatsApp button is greyed out; the message is in the Excel file to send another way.
Is my bank statement uploaded?
No. Every file is read and matched in your browser; nothing is sent to a server. Your UPI ID, shop name, message and column choices are kept in this browser for the next time.
