    About the Tuition & Coaching Fee Register with Receipts (on-device)

    A fee register for tutors, coaching classes and music or dance teachers that runs in your browser and keeps every student on your own device. Add batches and students with their guardian’s phone and a fee plan — monthly, every three months, instalments or one course fee — and the register works out what has fallen due each month. Payments are applied to the oldest fees first, so every month shows as paid, part-paid or due, and a payment made ahead of time covers the coming months.

    The Dues tab lists who owes what, by batch, with a WhatsApp or SMS reminder that you open and send to one guardian at a time. Collect a fee and the register issues a numbered receipt worded by the engine of the Receipt Generator — the amount in words, the months it covers and the balance still due — and keeps it as issued: a receipt is never edited afterwards, only cancelled, and its number is never reused. Mark attendance by batch for a monthly register, and read the pending-dues and month-wise collection reports. In the free preview, receipts, reports and registers show as marked page images; a Premium pass unlocks their PDFs, printing and pictures.

    How to use it

    1. Open Settings: your centre’s name, address and phone, the day fees fall due each month, receipt numbering and your batches with their usual monthly fee.
    2. Press New student: name, class, batch, the guardian’s name and phone, the joining date and the fee plan.
    3. When a fee is paid, press Collect beside the student: the amount due is filled in; record how it was paid and save. The receipt opens — with a Premium pass download or print it; the free preview shows it as a marked page image.
    4. Open Dues each month to see who owes what, batch by batch, and send a reminder to one guardian at a time.
    5. Take Attendance by batch and date; open Reports for pending dues and the fees collected month by month (their PDFs unlock with a pass). Back up regularly under Data & backup; CSV files always download, also without a pass.

    Common uses

    Fee plans and dues

    • Monthly: one fee every month from the first month charged, due on the day you choose (1–28).
    • Every 3 months: one fee for each quarter from the first month (July–September, October–December …).
    • Instalments: the dates and amounts you type.
    • One fee for the course: due once, in the first month.
    • Nothing falls due after the month a student leaves. Payments are applied to the oldest fees first; a cancelled receipt counts for nothing.

    Receipts that stay as issued

    Each payment gets the next receipt number and the wording of the Receipt Generator: “Received with thanks from … the sum of … towards tuition fee of … for …”, the amount in words, the payment reference, the fees due to that date, what was paid earlier and the balance due. What a receipt says — who paid, for whom, the months it covers, the fees due, what was paid earlier and the balance — is kept as it was issued, so a copy printed later is the same receipt even after a fee or a name changes. A wrong receipt is cancelled with a reason: it stays in the register marked CANCELLED, counts for nothing, and its number is not used again. Rupee cash receipts above ₹5,000 carry the box for the ₹1 revenue stamp.

    Children’s data (India)

    Most students of a tuition class are children. India’s Digital Personal Data Protection Act, 2023 asks for the verifiable consent of a parent before a child’s personal data is processed (section 9(1)), and rule 10 of the DPDP Rules, 2025 sets out how; that rule applies from 13 May 2027. A signed admission form with the parent’s consent is the usual way to keep it. This register keeps every record on your own device and sends nothing anywhere, but it does not collect consent for you — and this is not legal advice.

    Your register stays on this device

    The register is kept in this browser’s storage (IndexedDB) on this device and is never uploaded. With a passcode, every record is stored encrypted with AES-256-GCM under a key that only your passcode opens (PBKDF2-SHA-256 with 600,000 iterations, the OWASP Password Storage Cheat Sheet figure). The encrypted backup moves it to another device; nobody can recover a lost passcode or passphrase.

    Limitations

    • One device: the register does not sync between computers or phones. Move it with the encrypted backup.
    • Reminders are never sent automatically or to many guardians at once: each one is a WhatsApp or SMS link that you open and send.
    • Receipts are payment receipts, not tax invoices.
    • Discounts and late fees are not calculated: type the fee the student actually pays in their plan.
    • A spreadsheet import reads monthly, every-three-months and course-fee plans; instalment plans are typed in the register. Receipts are not imported from a spreadsheet: move a whole register with the encrypted backup.

    Privacy

    Students’ and guardians’ names, phone numbers, fees, receipts and attendance stay in this browser on your device (IndexedDB), encrypted when you set a passcode. Receipts and reports are made on the device; backups are encrypted on the device. Nothing is uploaded.

    What do I get without a pass?

    How does the register know what a student owes?

    From the fee plan: every month (or quarter, or instalment) whose due date has passed is a fee due. What the student paid is applied to the oldest fees first, so you see exactly which months are paid, part-paid or due.

    Can I change a receipt after it is issued?

    No. A receipt stays as it was issued, so the copy the guardian has always matches your register. If it was wrong, cancel it with a reason and issue a new one; the cancelled one stays in the register marked CANCELLED.

    Can it send fee reminders to all parents at once?

    No, on purpose. Each reminder opens WhatsApp or your SMS app with the message for one guardian, and you read it and press Send yourself.

    What if a student pays for several months together?

    Record one payment: it covers the oldest fees due and then the coming months. The student’s page shows how far they have paid, and the receipt says which months it covers.

    Where is the data kept?

    In this browser on this device only. Download an encrypted backup regularly under Data & backup — clearing the browser’s site data deletes the register.
